Summary

Serves group and business travel clients by developing, organizing, implementing, and evaluating domestic and international travel reservations; building client relationships; and ensuring client satisfaction. Consistently demonstrates flexibility with schedule and assignments, is knowledgeable in all facets of group travel, and provides excellent customer service to both internal and external customers.


Essential Duties and Responsibilities

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.


A day in the life of a Group Air Specialist at Fox may include:

  • Providing exceptional travel services for domestic and international itineraries, following up as necessary to complete reservations according to group details.
  • Responding to requests for airfare cost analysis utilizing automated system(s) for domestic and international itineraries; counseling clients on efficient routes, lowest available airfares, and travel products/services.
  • Maintaining and promoting professional and courteous client relations by managing a prompt and accurate response to telephone and email communications.
  • Remaining informed of all airline rules and regulations; active airline contacts; security, DOT and documentation requirements; current affairs. Communicating information to clients accurately, appropriately, and professionally.
  • Maintaining strong, pro-active relationships with airline partners’ Meetings & Incentives Sales Representatives.
  • Processing air travel arrangements for passengers based on client’s requests while enforcing LOA timeline dates and fee structure, conducting flight monitoring on day of departure and return.
  • Counseling clients on travel safety considerations, preferred supplier support, savings opportunities, logistical routings and options, and international entry requirements, if applicable.
  • Handling a large amount of information with strict attention to detail and strong organizational skills.
  • Effectively multi-tasking while managing time and pressure and maintaining a professional rapport with clients.
  • Relating to clients at various levels within their organizations using diplomacy and tact.
  • Anticipating client needs and acting on special requests; may need to provide specialized services to VIP clients.
  • Maintaining awareness and adherence to client’s procedures, programs & policy guidelines while consistently applying Fox World Travel practices and programs.
  • Ensuring optimum customer service through effective use of computer systems and positive telephone techniques.
  • Improving quality results by studying, evaluating, and making recommendations of process re-designs.
  • Updating knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks.
  • Operating with sense of urgency and interest and conveying that to the traveler through actions.
  • Maintaining a high level of competency on Travelport GDS.
  • Providing assistance to team members in researching and resolving service issues and helping transition new team members, as needed.
  • Maintaining a favorable and collaborative working relationship with co-workers in all departments to foster an environment of trust and mutual respect. Driving standards and best practices whenever possible and effectively fostering a culture of engagement.
  • Enhancing the organization’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Knowledge, Skills and/or Abilities

This opportunity might be for you if you have:

  • 2+ years travel industry related experience OR equivalent combination of education and experience; group travel and/or meetings and incentives experience preferred.
  • Strong knowledge and demonstrated proficiency of all Microsoft Office applications.
  • Flexibility to work different hours with overtime per business need.
  • Proven ability to create domestic and international air travel arrangements.
  • Demonstrated knowledge of industry codes and practices, as well as an understanding of travel requirements, i.e. regulations, visas, passports, immunization requirements, etc.
  • High level understanding of airline group contract parameters, to include: negotiated concessions, e.g. tour conductor seats, waivers for seat penalties, name changes, deposit schedules, etc.; contract types, e.g. 5-10% off, blocked-space, zone fares, etc.
  • Ability to concentrate and perform accurately while meeting applicable productivity measures.
  • Good sense of geography and workings of travel industry in order to understand how to plan trips and construct itineraries.
  • Ability to communicate with confidence and create a credible impression to clients.
  • Effective listening skills with ability to determine root cause quickly, check for shared understanding and address misunderstandings promptly.
  • Self-motivation; demonstrate initiative with a strong commitment to personal goals, objectives and work ethic.
  • GDS proficiency; Travelport preferred.

The estimated base pay range for this position starts between $24 and $27 per hour, less applicable withholdings and deductions, and is paid on a bi-weekly basis. The salary range provided represents our good faith estimate as to what our ideal candidates are likely to expect. We structure our offers within the range based on location, experience, education, industry knowledge, technical and communication skills, market conditions, and other factors that may prove relevant during the interview process.
