POSITION:  Office Manager
LOCATION:  Family and Community Engagement (FACE)
JOB SUMMARY:
The Dougherty County School System is seeking an office manager to join our roster of experienced, motivated, and effective professionals. The Office Manager serves as the central point of contact for  operations, providing administrative support to the principal, staff, students, and families. This position ensures the smooth daily operation of the school office by managing clerical functions, communication, scheduling, and records with a high level of professionalism, efficiency, and confidentiality.
MINIMUM QUALIFICATIONS:








  1. Diploma in Business Office Technology or equivalent;
  2. Two years of clerical experience in a school office or related setting;
  3. Experience in working with sensitive information; able to perform duties maintaining confidentiality along with a professional demeanor when interacting with staff;
  4. Experience in Microsoft and Google Suites;
  5. Such alternatives to the above qualifications as the Superintendent and the Board may find appropriate.

KNOWLEDGE, SKILLS AND ABILITIES:  

  1. Strong communication skills, both written and verbal, with a customer service-oriented approach;
  2. Excellent organizational and time management skills, with the ability to prioritize tasks effectively;
  3. Ability to ensure that all records are properly updated, and maintained in an accurate and confidential manner;
  4. Ability to work independently as well as part of a team, with a proactive and adaptable mindset.

PERFORMANCE RESPONSIBILITIES:

Office Administration

  1. Manage day-to-day operations of the front office;
  2. Greet and assist staff and visitors;
  3. Maintain a welcoming, organized, and professional office environment;
  4. Answer phones, route calls, take messages, and respond to inquiries;
  5. Maintain office supplies and equipment; place orders as needed.

Communication and Coordination

  1. Serve as liaison between the director, staff, and district personnel;
  2. Draft and distribute FACE communications, notices, and newsletters;
  3. Schedule meetings, appointments, and events;
  4. Maintain department calendar and coordinate logistics for events and meetings.

Records and Reporting

  1. Prepare reports and data for district use;
  2. Ensure compliance with confidentiality and data privacy policies.

Financial and Budget Support

  1. Assist with processing purchase orders, invoices, and reimbursements;
  2. Maintain petty cash and funds under district guidelines;
  3. Track and reconcile budget expenditures as directed by the director.

Support to Principal and Staff

  1. Coordinate substitute coverage and maintain staff attendance records;
  2. Provide administrative support to the director and other staff members;
  3. Performs other such duties needed or assigned by the Supervisor.

WORK/PHYSICAL REQUIREMENTS:

  1. Ability to sit, stand, and walk for extended periods in an office or operations setting;
  2. Capability to lift and carry materials up to 25 pounds;
  3. Sufficient vision and hearing to communicate effectively, read documents, and work on a computer;
  4. Ability to move between administrative offices and transportation facilities;
  5. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
