Description
The Benefits & Leave Coordinator is responsible for the administration, compliance, and accuracy of all employee benefits and leave of absence programs, with a strong focus on regulatory expertise and employee experience. This role serves as the subject matter expert for benefits and leave, including Minnesota Paid Family and Medical Leave (PFML), parental leave programs, and multi-state leave requirements. This position will need to support multi-site locations, including GEOTEK and its subsidiaries. The position also provides light support to HR shared services functions.
This position requires regular onsite attendance at our GEOTEK facility in Stewartville, MN, with the flexibility to work remotely 1-day per week.
DUTIES & RESPONSIBILITIES
Benefits Administration
Administer all employee benefit programs including medical, dental, vision, retirement, and voluntary benefits
Lead annual open enrollment (strategy, execution, communication, and issue resolution)
Primary point of contact for employee questions related to benefits and leaves.
Coordinate and manage wellness initiatives
Leave Management
o Manage all leave programs including: FMLA, ADA accommodations, Short- and long-term disability, Minnesota Paid Family and Medical Leave (PFML), Company parental leave programs
o Ensure compliance with federal, state, and local leave laws and regulations
o Develop and maintain expertise in multi-state leave programs, with the ability to learn and adapt to new and evolving legislation
o Track and manage leave cases end-to-end (documentation, timelines, approvals, return-to-work coordination)
o Provide guidance to managers and employees on leave eligibility, documentation, and expectations
o Partner with third-party administrators (if applicable) to ensure effective case management
Compliance and Reporting
o Ensure compliance with all benefits and leave-related laws and regulations
o Prepare and submit required filings (ACA, EEO-1, etc.)
o Conduct regular audits of benefits and leave data to ensure accuracy and compliance
Workers' Compensation
o Support administration of workers' compensation claims
o Maintain required documentation and reporting
o Partner with internal teams to support safety initiatives
HR Shared Services Support
o Support onboarding and offboarding processes related to benefits and compliance
o Maintain accurate employee data in HRIS systems
o Respond to employee inquiries related to benefits, leave, and HR policies
o Assist with HR projects and process improvements as needed
Employee Education & Experience
o Develop and deliver benefits and leave communications
o Educate employees on available programs and resources
o Improve clarity, accessibility, and utilization of benefits offerings
KEY COMPETENCIES
• Experience in benefits and leave management
• Working knowledge of Minnesota PFML and evolving state leave laws
• Ability to quickly learn and interpret multi-state compliance requirements
• High attention to detail and compliance orientation
• Strong communication skills for navigating sensitive employee situations

EDUCATION AND EXPERIENCE REQUIREMENTS
• Bachelor's degree in HR, Business, or related field

• Experience with multi-state employers strongly preferred
WORKING CONDITIONS
Physical Demands:
• Primarily sedentary work, involving prolonged periods of sitting at a desk, working on a computer, and performing tasks requiring manual dexterity, such as typing and writing.
• Occasional standing, walking, and moving around the office and production floor.
• May require occasional lifting or carrying of light materials, typically up to 20 pounds.
Working Environment:
• Work is primarily conducted in a typical office environment, with controlled indoor temperatures, standard lighting, and minimal noise.

The compensation range for this position is $75,000 - $100,000 annually. Final offers may vary based on several factors, including experience, skills, and qualifications.
