Job description

As our Rentals & Events Assistant Manager, you'll transform ideas into unforgettable experiences, guiding clients from first inquiry through flawless execution while showcasing the Museum of Life and Science as one of the Triangle's most unique and sought-after event venues.

In this role, you will support the Museum’s mission by being a key member of the Guest Experience management team, responsible for maintaining a positive and proactive work environment, and delivering an exemplary level of service to all guests, with a primary focus on corporate, social, and other private museum rentals.

Required Qualifications

    • College degree or 2+ years’ experience in Hospitality or Event Management
    • 2+ years’ customer service and sales experience
    • Excellent communication skills – verbal and written
    • Exceptional attention to detail and organization
    • Strong interpersonal skills including the ability to work collaboratively and with diverse populations
    • Works well under pressure with a positive attitude
    • Demonstrates creative problem-solving skills under pressure
    • Good at multi-tasking and planning/logistics
    • Responds appropriately to emergencies with provided training
    • Strong computer and Microsoft Office skills
    • Able to work a flexible schedule including nights and weekends
    • Able and willing to embrace our mission of sparking curiosity and respect for nature and science
    • Physically able to be on one’s feet for up to 8+ hours a day, travel distances of up to one mile on variable terrain at a time, and lift35 lbs. on a regular basis, bend, reach, and squat up to 75% of the time

Desired Qualifications

  • Experience in business development or operational management
  • Familiarity with set up and running of audio-visual equipment
  • Experience with CRM and event software (e.g., Altru, Pipedrive,AllSeated, Social Tables)
  • Familiarity with high-volume event sales environment
  • Bilingual in Spanish and English

Responsibilities

  • Cultivate exceptional client experiences by serving as the primary account manager for corporate and social rentals, helping clients envision their event at the Museum while managing planning, vendor coordination, and day-of execution.
  • Hire, train, develop, and supervise a team of Rental Associates to ensure successful event execution.
  • Lead onboarding and ongoing staff training related to event operations, safety procedures, Museum policies, and specialty event programming.
  • Develop and maintain relationships with repeat clients, Museum Business Members, and community partners, while actively seeking out and cultivating new corporate and social rental clients that support departmental revenue goals.
  • Maintain inquiry pipeline and meet monthly and annual budgeted sales goals by selling and up-selling Museum facilities and add-on services.
  • Monitor event revenue and expenses, perform reconciliation as needed, and forecast monthly projections in collaboration with the Rentals Director.
  • Act as Venue Manager at rental events, by leading a rental support team to fulfill client expectations and anticipate needs.
  • Maintain the safety, security and cleanliness of Museum facilities and exhibits, by overseeing event set-up, enforcing Museum policies throughout event, ensuring adequate clean-up by clients and vendors, returning the Museum to its original state for regular operation, and properly securing campus.
  • Maintain a warm, friendly, safe Museum environment, monitoring Museum exhibits and spaces, ensuring that NC ABC Laws, Durham County smoking ordinance, and applicable Museum policies are maintained and enforced.
  • Support Rentals Team and provide coverage during periods of absence and peak seasons, requiring training and regular participation to maintain knowledge of policies and procedures.
  • Collaborate with other Museum staff and departments on upcoming events and future programming opportunities.
  • Monitor supplies and materials for rental operations and manage rental storage spaces throughout campus.
  • Promote the Museum to local organizations, at networking events and at off-site trade shows.
  • Transport guests, staff, and vendors in golf cart as needed.
  • Attend and participate in Emergency Coordinator training as well as act as Emergency Coordinator after hours and as needed.
  • Perform job related duties as assigned

This position reports to the Director of Rental and Internal Events and has oversight of Rental Associates at events.
