Event Manager
Reports to: Operations Manager
Status: Supplemental
Pay: $30.00 per hour
Status: Hourly (Weekends and events)
Description: The Event Manager is responsible for executing all logistical and operational elements related to setting up school and community events. This role requires strong organizational, leadership, and problem-solving skills to ensure the smooth running of events, from equipment setup to venue preparation. The Event Manager will work closely with school staff, sports coaches, vendors, and volunteers to create a safe and efficient environment for all participants.
Key Responsibilities:
  • Event Planning and Coordination:
    • Collaborate with school administrators, sports coaches, and event organizers to understand the permit requirements of each sports event.
    • Develop detailed set-up plans for each event, including equipment needs, space utilization, and logistical considerations.
    • Coordinate with vendors and suppliers for necessary equipment and services (e.g., scoreboards, tents, seating, sound systems).
  • Venue and Equipment Preparation:
    • Oversee the physical setup of the event venue, including field, court, or gymnasium preparation.
    • Ensure all necessary equipment (e.g., sports gear, timing systems, goal posts, nets, etc.) is available, functional, and properly installed.
    • Set up seating areas, signage, and traffic flow for spectators, athletes, and staff.
  • Team Supervision:
    • Lead and manage a team of staff or volunteers responsible for event setup, ensuring that all tasks are completed on time and to standard.
    • Provide training and clear instructions to team members on their roles during event preparation and breakdown.
  • Safety and Compliance:
    • Ensure all event setups adhere to safety regulations and school policies, including crowd control measures and emergency preparedness.
    • Conduct pre-event safety checks to identify and mitigate any potential hazards.
    • Maintain clear evacuation routes and emergency access for medical personnel.
  • Event Day Management:
    • Be present during events to oversee setup completion, troubleshoot issues, and manage any last-minute changes or adjustments.
    • Liaise with coaches, referees, and event officials to address any operational concerns.
    • Maintain the cleanliness of the building and grounds (including the parking lot)
    • Ensure entry carpets are vacuumed and the lobby is mopped as needed
    • During inclement weather, shovel and salt walks as needed
    • Checking in with the permit holder often for any additional needs
    • Emptying trash cans as needed throughout the event
    • Restocking restroom paper products and soap during the event as needed
    • Securing all doors and arming the building
    • Ensure venues are restored to their original condition after events, including clean-up and equipment removal.
    • Supervise the breakdown of equipment and ensure proper storage or return to vendors after the event.
