Job description:
  • We are seeking a highly organized and proactive Administrative Assistant to provide executive-level support to the Vice President, Vehicle Engineering Operations & KPIs (VEOK).
  • This role combines traditional administrative responsibilities with business operations planning, KPI management, reporting, budget tracking, and data analysis support.
  • The ideal candidate will be a strong communicator, capable of managing multiple priorities, analyzing data, identifying issues, and providing actionable insights to support decision-making.

Key Responsibilities:
Executive Support
  • Provide direct administrative support to the VP.
  • Manage calendars, meetings, action items, and follow-up activities.
  • Prepare executive presentations, reports, and communication materials.

Business Operations & KPI Management
  • Track and maintain operational KPIs for the Vehicle Engineering Operations organization.
  • Generate regular reports on budget, manpower, procurement activities, and performance metrics.
  • Analyze data and identify trends, risks, and areas requiring management attention.
  • Support business planning and operational reviews.

Procurement & Financial Administration
  • Support procurement requests and purchasing processes.
  • Track invoices and maintain expenditure summaries.
  • Monitor budget-related activities and provide status reports.

Overtime (OT) Management
  • Manage overtime approval requests and reporting.
  • Track OT utilization, identify issues, and follow up with stakeholders.
  • Prepare reports and recommendations related to overtime management.

Reporting & Decision Support
  • Develop accurate and concise reports for leadership.
  • Gather, organize, and validate business data.
  • Support leadership decision-making through analysis and reporting.
  • Proactively identify issues and recommend solutions.

Required Qualifications
  • Experience in Executive Administrative Assistance, Business Operations, Project Coordination, or a similar role.
  • Advanced Microsoft Office skills, particularly Excel and PowerPoint. Power BI is a plus.
  • Strong analytical and reporting capabilities.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving and organizational skills.
  • Demonstrated ability to work independently and proactively.

Preferred Qualifications
  • Experience supporting senior executives or VP-level leadership.
  • Experience with KPI reporting, budgeting, manpower tracking, and procurement processes.
