Job description

Minimum Qualifications: 
Bachelor's degree in related field or equivalent and five years related experience.


Job Summary: 
To assist the Department Administrator and Assistant Administrator in the overall management of the department. Coordinates and manages a variety of activities in support of the department with a focus upon staff coordination, policy and procedure development, strategic planning, and organizational analysis.


Job Duties:

  • Directs administrative support activities for the department, including developing, scheduling, and maintaining applicable records, agendas, minutes, reports, and plans.
  • Develops planning, management, and organizational analysis documents; establishes goals and objectives; directs and coordinates development of guidelines, policies, procedures, and standards to improve operations.
  • Works with the Director of Business Operations to develop long and short-term goals for the department and strategic plans.
  • Supervises administrative staff as necessary for the efficient operation of the department.
  • Responsible for staff development of administrative personnel.
  • Oversees transitional activities related to the implementation of organizational and procedural changes.
  • Assists in the planning and budgeting of the department.
  • Identifies appropriate internal controls for department; provides mechanisms to monitor and enforce compliance.
  • Completes special projects, informational surveys, and ad hoc reports.
  • Adheres to internal controls and reporting structure.
  • Coordinates space planning, facilities management, and equipment procurement, installation, and maintenance; serves as departmental liaison with UTMB Facilities Management and Purchasing departments.
  • Coordinates departmental IT needs and serves as liaison with UTMB Information Services; manages departmental technology systems and data security requirements.
  • Coordinates financial planning, budgeting, and reporting activities; monitors department accounts and expenditures; prepares financial analyses and forecasts; ensures compliance with UTMB financial policies and procedures.
  • Applies innovative solutions and AI technologies to optimize workflows, automate routine processes, and enhance data-driven decision making. 

  • Performs related duties as required. This role requires a forward-thinking mindset with a focus on utilizing AI and emerging technologies to enhance business operations.  


Salary Range:
$84,846 - $110,300; Commensurate with experience.
