This position manages and oversees coordination for theAdvisory Committee and the Capitol Committee.

Key Responsibilities:

  • Meeting Preparation and Management:
    • Creates meeting packets and agendas.
    • Collaborates with external and internal stakeholders to ensure presentation materials are complete, clear, and published on the website before meetings.
    • Manages participant preparation and materials to ensure alignment with committee and board objectives.
    • Writes speaker notes for committee chairs.
    • Identifies items needing follow-up and tracks these items after meetings to ensure timely delivery.
    • Oversees the logistics and details of committee meetings, which are hybrid. Manages the Zoom portion of the meeting and handles all technical logistics.
  • Administrative and Protocol Adherence:
    • Administers and coordinates functions in support of external committees and boards.
    • Ensures team and committee members adhere to administrative protocols.
    • Publishes notices of the Open Public Meetings.
    • Publishes notices with the Code Reviser & Washington State Register.
  • Committee Member Coordination:
    • Coordinates appointment deadlines and recruitment forDesign Advisory Committee and Committee members.
  • Webpage and Communication Management:
    • Manages and updates Design Advisory Committee and Capitlo Committee webpages in partnership ClientInformation Services.
    • Ensures recordings, meeting minutes, and summaries of meetings are posted on the website.
    • Coordinates coverage by Television Washington.
    • Manages Committee email inbox.
  • Scheduling Support:
    • Provides high-priority scheduling support for the Chief External Affairs Officer with boards, councils, and committee members.
