Summary of Roles and Responsibilities

The Service Coordinator acts as the key liaison for all service-related work at OnSite Sign, managing service projects for a broad client base. This role coordinates directly with field crews, dispatch, project managers, and support staff to ensure the seamless execution of surveys, removals, and installations. Strong collaboration with internal teams and clients is essential to ensure accurate project planning, pricing, and execution.


Core Responsibilities

  • Manage incoming service orders and assess scope, pricing, materials, personnel, and scheduling needs.
  • Coordinate equipment, materials, and municipal permits as needed.
  • Maintain communication with clients, providing updates, confirmations, and addressing changes or issues.
  • Support field technicians with real-time troubleshooting and ensure efficient job site execution.
  • Generate detailed post-service reports including photos and technician data.
  • Identify potential upsell opportunities while on-site.
  • Organize and label project files for clarity and client reference.
  • Update project status in SquareCoil and scheduling systems; assist with invoicing prep.
  • Ensure documentation is complete for project close-out and future reference.
  • Attend weekly installation and procedural meetings to stay aligned on processes and resource planning.
  • Maintain accurate, accessible records for internal use and management review.
  • Answering of companywide phone system
