Job description

Maintenance Planner & Reliability Coordinator

Position Summary

The Maintenance Planner & Reliability Coordinator is responsible for driving proactive maintenance planning, CMMS administration, preventative maintenance coordination, spare parts management, and contractor coordination. This role plays a critical part in transitioning the organization from reactive maintenance practices to a structured, reliability-focused maintenance program.

The position serves as a key owner of the company's new CMMS platform and is responsible for maintaining accurate maintenance data, asset records, preventative maintenance schedules, and spare parts information. Success in this role requires a highly organized, detail-oriented individual who can effectively coordinate maintenance activities across internal teams, vendors, and contractors while supporting long-term equipment reliability and operational readiness.

Key Responsibilities

Maintenance Planning & Scheduling

  • Update and maintain preventative maintenance schedules across the facility
  • Schedule maintenance activities to reduce reactive downtime and emergency work
  • Coordinate maintenance activities with scheduling to minimize production disruption
  • Ensure maintenance work orders are properly prioritized, scheduled, and completed
  • Support shutdown planning and maintenance scheduling activities

CMMS Administration

  • Maintain accurate and organized asset, spare parts, PM, and work order information
  • Ensure CMMS data integrity, consistency, and standardization
  • Support development and continuous improvement of maintenance procedures
  • Generate maintenance reports and support KPI tracking
  • Drive accountability and consistency in CMMS usage

Reliability & Preventative Maintenance

  • Support reliability initiatives through proactive maintenance planning
  • Coordinate PM frequencies, procedures, and standardization efforts
  • Track PM compliance and overdue maintenance activities
  • Support failure analysis and continuous improvement initiatives
  • Assist with long-term equipment reliability planning

Spare Parts Management

  • Maintain accurate spare parts inventory records in the system and physically
  • Coordinate spare parts ordering and replenishment activities
  • Monitor critical spare inventory levels to prevent downtime risks
  • Support inventory audits, cycle counts, and inventory standardization efforts

Vendor & Contractor Coordination

  • Coordinate vendors, contractors, and service providers to ensure work is properly planned and executed
  • Support contractor scheduling, work scope alignment, and completion follow-up
  • Maintain effective communication between contractors, Maintenance, Operations, Engineering, and Supply Chain
  • Build strong working relationships with external service providers

Process Improvement & Coordination

  • Support maintenance process standardization and continuous improvement efforts
  • Help improve maintenance KPI visibility and reporting
  • Assist in developing scalable maintenance planning and scheduling processes
  • Collaborate with Operations, Engineering, Supply Chain, and leadership teams to align maintenance priorities

Qualifications

  • Associate's or Bachelor's degree in Maintenance, Engineering, Industrial Technology, Operations, or related field preferred
  • 3+ years of maintenance planning, CMMS administration, maintenance coordination, or industrial maintenance experience preferred
  • Experience in manufacturing, chemical, industrial, or process operations environments preferred
  • Experience using MaintainX, SAP PM, Maximo, or similar CMMS platforms
  • Strong organizational, communication, and planning skills
  • Strong attention to detail and ability to manage multiple priorities
  • Proficiency with Microsoft Excel and reporting tools preferred
