Department: Material Coordinators

Summary
The Maintenance Coordinator is responsible for coordinating and supporting maintenance activities to ensure the efficient operation of machinery, equipment, facilities, and building systems. This role serves as a key liaison between maintenance personnel, production teams, vendors, and management by scheduling preventive maintenance, tracking work orders, managing inventory, maintaining maintenance records, and supporting continuous improvement initiatives. The Maintenance Coordinator helps minimize equipment downtime while ensuring compliance with safety, quality, and operational standards
Principle Responsibilities and Duties
  • Coordinate and schedule preventive and corrective maintenance activities for production equipment, machinery, and facility systems.
  • Create, assign, and monitor work orders to ensure timely completion of maintenance requests.
  • Track maintenance schedules, equipment history, and service records within the maintenance management system. 
  • Collaborate with maintenance technicians, production teams, and supervisors to prioritize maintenance activities and minimize operational downtime.
  • Coordinate with external contractors and service providers for specialized repairs, inspections, and maintenance projects.
  • Maintain inventory levels of maintenance parts, tools, and supplies by monitoring stock, generating purchase requests, and verifying receipt of materials. 
  • Assist in troubleshooting efforts by gathering information, documenting issues, and supporting maintenance personnel in identifying root causes. 
  • Prepare and distribute maintenance reports, key performance indicators (KPIs), downtime summaries, and other operational metrics.
  • Maintain accurate documentation of maintenance activities, inspections, repairs, and regulatory compliance requirements.
  • Support the implementation and continuous improvement of preventive maintenance programs. 
  • Serve as a point of contact for maintenance-related inquiries and provide updates regarding work order status and equipment availability.
  • Ensure compliance with company policies, environmental regulations, and safety procedures.
  • Maintain effective communication across departments to support productivity and operational goals.
  • Promote a safe, clean, and organized work environment.
Qualifications
  • High School Diploma or GED required; Associate degree or technical certification preferred.
  • Minimum 3-5 years of experience in maintenance coordination, facilities maintenance, manufacturing, industrial operations, or a related field.
  • Experience using Computerized Maintenance Management Systems (CMMS) preferred.
  • Strong organizational, planning, and scheduling skills.
  • Working knowledge of mechanical, electrical, plumbing, and facility maintenance practices.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
  • Strong communication and interpersonal skills.
  • Knowledge of inventory control and purchasing processes.
  • Understanding of OSHA and workplace safety requirements.
