Job description

Ozark is hiring a full-time Mailroom Clerk to join our team!

The hours for this position are Monday-Friday, 8:00 AM-5:00 PM, on site at our downtown Kansas City, MO office location.

Overview

The Mailroom department is responsible for processing, distributing, and maintaining company documents and correspondence to support business operations across all departments.

This role plays an important part in ensuring incoming and outgoing mail, company records, and document storage processes are handled accurately and efficiently. The Mailroom Clerk supports daily mailroom operations, document management, and records retention activities while maintaining established service standards and accuracy requirements.

Key Responsibilities

  • Process, sort, and distribute incoming and returned mail. • Prepare incoming documents and correspondence for scanning and electronic storage.
  • Scan documents into the company's imaging system.
  • Organize, box, and maintain records for storage and retention.
  • Maintain and update box inventory logs and storage records.
  • Print electronic applications and other documents for imaging and recordkeeping purposes.
  • Distribute company reports and internal documents.
  • Deliver policy contracts and printed materials throughout the office.
  • Run application name comparison programs and verify document accuracy.
  • Retrieve original documents and records when requested by internal departments.
  • Support records conversion and archival projects, including microfiche maintenance and digitization.
  • Assist with training new team members on mailroom and document management procedures.

Required Qualifications

  • High school diploma or GED required.
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time-management skills.
  • Ability to prioritize tasks and work independently.
  • Professional demeanor and strong interpersonal skills.
  • Effective verbal communication skills.
  • Self-motivated with a strong work ethic.
  • Valid driver's license required.

Preferred Qualifications

  • Previous experience in a mailroom, records management, administrative support, or office services role.
  • Experience working with imaging or electronic document management systems.
  • Familiarity with mail processing, document retention, and records storage practices.
  • Experience training or mentoring new employees.

Work Environment

This position operates in a professional office environment and regularly uses standard office equipment, including computers, printers, scanners, photocopiers, telephones, filing systems, and related technology.

Regular and predictable attendance is required.
