Job description

Candidates who receive an offer will be required to successfully complete a background check and drug test as a condition of employment.
Role- Legal Office Services
Location- Boca Raton, FL 33431
Duration- 5+ months (temp to hire)
Shift- Mon -Fri (8 AM - 5 PM)

Daily responsibilities will include office copy/print and inbound/outbound mail. Candidates should be high-quality and have a polished/professional demeanor and appearance. Technical aptitude is required as the worker will need to be able to set up conference calls with laptops. Candidates must also have strong written and verbal communication skills.
We are really looking for candidates that can demonstrate the following:
-Experience working in a legal office environment
-Work history demonstrating stability, job longevity is important
-Office Copy/Print Competencies
-Strong computer skills and technical aptitude
-Able to be on their feet for an extended period of time
-Non-administrative duties are primary in this role(not a sit-down job)
Key Responsibilities

  • Operate high-volume copiers, printers, scanners, and multifunction devices.
  • Perform copying, printing, scanning, binding, finishing, laminating, hole punching, stapling, and document assembly.
  • Complete quality control checks on all print jobs before delivery.
  • Process confidential legal documents with a high level of accuracy.
  • Perform OCR processing, PDF conversion, file formatting, and document preparation.
  • Complete FTP file transfers and electronic document management.
  • Sort, distribute, and deliver incoming mail and packages.
  • Process outgoing mail using USPS, FedEx, Client, and courier services.
  • Apply appropriate postage and maintain shipping records.
  • Receive deliveries and verify packing slips for accuracy.
  • Maintain shipping, receiving, and billing logs.
  • Coordinate deliveries within the office and designated locations.
  • Set up conference rooms and meeting spaces.
  • Assist with laptop and conference call setup.
  • Support office moves and building services as assigned.
  • Maintain office supplies and inventory.
  • Ensure copier areas remain clean, organized, and fully stocked.
  • Perform routine copier inspections and preventative maintenance.
  • Clear paper jams and troubleshoot equipment issues.
  • Coordinate service requests with technicians.
  • Maintain equipment service and meter logs.
  • Provide exceptional customer service to attorneys, partners, paralegals, legal secretaries, and executive staff.
  • Communicate professionally in person, over the phone, and via email.
  • Prioritize multiple assignments while meeting tight deadlines.
  • Handle highly confidential legal documents with discretion and accuracy.

Required Qualifications
  • High School Diploma or GED.
  • 1-2 years of related Office Services experience.
  • Minimum 2 years of legal office or law firm experience strongly preferred.
  • Experience with high-volume copy, print, scanning, and mailroom operations.
  • Knowledge of shipping and receiving procedures.
  • Strong computer and technical skills.
  • Excellent written and verbal communication skills.
  • Strong customer service and interpersonal skills.
  • Ability to stand and walk for extended periods.
