Job Title: Clinical Admin Coordinator/Administrative Support Specialist

Schedule: Monday–Friday
Start time between 6:00 AM and 7:30 AM (8 Hours/5 Days)

Position Overview

We are seeking a detail-oriented and organized Mailroom Clerk / Administrative Support Specialist to support daily mail operations and administrative functions. This role is responsible for ensuring the timely distribution of incoming and outgoing correspondence, maintaining accurate records, and providing administrative support through document processing and data entry. The ideal candidate is dependable, efficient, and comfortable working in a fast-paced office environment.

Key Responsibilities

  • Receive, organize, open, and distribute incoming mail to appropriate departments in a timely manner.
  • Operate mailroom equipment, including postage machines, photocopiers, folding machines, and inserting machines.
  • Print, prepare, and distribute documents and correspondence as needed.
  • Process and mail provider payment checks multiple times per week.
  • Maintain accurate logs, spreadsheets, and tracking records related to mail distribution and departmental activities.
  • Perform data entry tasks with a high degree of accuracy and attention to detail.
  • Assist with document management, filing, and administrative support functions.
  • Ensure outgoing mail is processed and distributed according to established procedures and deadlines.
  • Support additional office and mailroom projects as assigned.

Required Qualifications

  • High School Diploma or GED required.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Excellent communication and time-management skills.
  • Ability to work independently and meet deadlines.
  • Basic computer proficiency and data entry skills.

Technical Skills

  • Working knowledge of Microsoft Excel

Preferred Qualifications

  • Previous experience in a mailroom, administrative, clerical, or office support role.
