Job description

Description The City of Aiken is accepting applications for an Administrative Assistant to join our Parks, Recreation, & Tourism department. This position performs complex administrative and secretarial duties to assist the department or division. Examples of Duties Orders and maintains office supplies; ensures maintenance of shared office equipment; interprets policies and procedures for staff Assists with oversight of special projects and events as assigned; monitors projects to ensure accuracy and completion Operates a computer and software to type documents, input an retrieve data, and generate a variety of reports Composes emails, letters, memoranda, reports, agendas, procedures, and other documents pertinent to the department from written notes, verbal instruction, or tape; proofreads and corrects documents Develops and maintains cooperative relationships with other City departments, outside vendors, and the general public contacted in the course of work; attends meetings Organizes, develops, and implements procedures for recording and filing various forms and reports and maintains filing systems Receives, determines, and resolves complex citizen complaints, problems, or complaints; works with division heads to resolve problems Accounts for and deposits monies received by department; maintains various fiscal records Serves as lead worker to personnel performing routine clerical duties; instructs and trains new employees in correct methods, procedures, and operation; inspects and monitors work to ensure compliance with established procedures; assists with work as needed Assists with preparation of departmental budget; assists in compiling monthly, annual, statistical, and related reports Performs receptionist duties; greets public entering office and offers assistance; responds to questions, concerns, or complaints from knowledge of departmental procedures; takes messages and forwards to appropriate party Other Responsibilities Sorts and routes incoming mail; processes outgoing mail Makes copies of documents and reports Fills in for other employees as needed Attends staff meetings; assists leadership in developing new departmental policies and procedures Minimum Qualifications High School diploma or equivalent Two-year college or technical/vocational school degree (preferred) Four years of clerical experience or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities Valid driver's license Must obtain First Aid/CPR/AED & DDC-8 certifications within six months of employment Competent in Microsoft Office 365 Analytical, interpersonal, and language skills necessary to perform functions of the job Supplemental Information This position is subject to a criminal background check for any convictions directly related to its duties and responsibilities.
