Position Summary: Excel Sports Management seeks a Senior Coordinator, Office Operations, to support the day-to-day operations of all Excel office locations. Reporting to the Senior Manager, Office Services & Facilities, this role is responsible for ensuring the office operates efficiently and delivers best-in-class employee and guest experience through the management of workplace operations, vendor partnerships, facilities coordination, and employee engagement initiatives. The ideal candidate will be a highly organized, driven, self-starter that is detail-oriented and exudes positive energy and elevated customer service.  The candidate must have great interpersonal skills, confidence and be able to work collaboratively while thriving in a dynamic environment.

Essential Duties & Responsibilities:

  • Partner with the Senior Manager to identify opportunities to improve workplace operations, efficiency, and service delivery.
  • Partner with the Senior Manager on national workplace initiatives, office openings, relocations, and special projects.
  • Develop and maintain office standards, operating procedures, and workplace documentation to ensure operational consistency across all Excel Offices with the help of our individual satellite office admins.
  • Coordinate employee seating plans, workspace assignments, and space utilization to support organizational growth.
  • Oversee and maintain office access systems, visitor registration platforms, shipping and mail operations, and workplace software.
  • Manage workplace health, safety, emergency preparedness, and business continuity initiatives while ensuring compliance with company policies, building regulations, and workplace safety standards.
  • Serve as the primary day-to-day liaison and mentor for individual office admins as it relates to building management, building services, coordinating security, maintenance requests, and after-hours access.
  • Independently manage relationships with external vendors.
  • Coordinate preventative maintenance, repairs, and vendor scheduling for HVAC, plumbing, electrical, and other building systems.
  • Review vendor performance and escalate operational issues while recommending process improvements and cost-saving opportunities.
  • Maintain office budgets and report weekly spend.
  • Lead the planning of employee engagement initiatives, including office celebrations, happy hours, volunteer events, holiday programming, and wellness initiatives.
  • Continuously identify opportunities to elevate the employee workplace experience while reinforcing Excel's culture.
  • Serve as the primary operational resource during the Senior Manager's absence.
  • Perform other duties and special projects as assigned.

 

Physical Requirements:

  • Must be able to lift up to 15 pounds at time.

 

Education & Experience:

  • 2–4 years of experience in Office Services, Workplace Experience, Facilities, Hospitality, or Corporate Operations.
  • Experience managing vendors, budgets, and workplace operations in a fast-paced corporate environment.
  • Strong customer service mindset with the ability to build relationships across all levels of an organization.

The pay range for this position is: $70,000-$78,000 per year. This position is also eligible for benefits and discretionary bonus. 

Please note that the foregoing compensation information is a good-faith assessment associated with this position only and is provided pursuant to the New York City Salary Transparency Law.  

Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
