Job description

Key Responsibilities:
Reporting to Operations Manager, the role is responsible and accountable for all aspects of the day-to-day management of the mail and printing service across all client facilities. The manager is responsible for developing and managing operational initiatives that ensure the service meets all critical deadlines, staff present professionally and are trained and proficient in carrying the duties as appropriate, as well as all long-term planning considerations. This includes, but is not limited to the following activities:
Responsibilities:
  • Handle all materials received in the Mail Center [receive, review, receipt, document, process, prepare, identify, separate, deliver, transport, etc.].
  • Deliver, pickup, and transport materials within, between, to, and from various departments.
  • Deliver office supplies and copy paper.
  • Inspect deliveries for suspicious or threatening items.
  • Pickup outbound boxes and packages from internal customer locations.
  • Printing, Binding Request
  • Large format printing of posters
  • Working with customers on print requests
  • Ability to sort items into categories according to established methods.
  • Prepare items for processing, shipment or transportation.
  • Enter activity data in logs, maintain records.
  • Ensure all safety procedures are followed at all times.
  • Handle work order service requests into applicable format.
  • Prepare and process outbound courier shipments using computer or service provider's equipment [such as UPS].
  • Ability to cross train on other roles within department; responsible for carrying out other duties as appropriate due to staff absences or at the discretion of management.
  • Customer Service and serve as client's primary contact for service and issues.
  • Develop team strengths and improve weaknesses.
  • Communicate team goals and evaluate team progress.
  • Resolve conflict.
  • Learn all aspects of mail operations and provide coverage during absences.
  • Ensure safety and security procedures are followed always.
  • Assist with monthly reporting.
  • Ensure all employee training (new hire, monthly, cross training, site required) is performed and at standard.
  • Respond to client issues and ensure appropriate escalation processes are followed by communicating critical issues to
  • Manager without delay.
  • Handling packages and Equipment coming into the mail center
  • Deliver mail and packages to recipients using package tracking software
  • Create shipping labels
  • Maintain a clean and safe workspace.
  • Other duties as assigned by manager.

Preferred Requirements:
  • High School diploma or equivalent (GED).
  • Minimum of 5-7 years Mail and Print services related experience preferred with knowledge of commonly used Office Services procedures.
  • 1-3 years' experience with Microsoft Office Software (Word, Excel, etc.).
  • Excellent customer service skills; must possess a "can do" attitude.
  • Excellent communication skills both verbal and written.
  • Ability to effectively work individually or in a team environment.
  • Competency in performing multiple functional tasks.
  • Attention to detail.
  • Ability to handle mail or hand cart
  • Must be able to lift up to 50 pounds.
