Job description

Job Title: Part-Time Office Services & Administrative Coordinator

Location: Tulsa, OK

Compensation: $18.00 - $20.00 / Per Hour

Benefits: This position is eligible for medical, dental, vision, and 401(k).

Schedule: This is a part-time position working:

  • Tuesday – Thursday: 8:00 AM – 5:00 PM
  • Core Hours: Tuesday & Wednesday: 8:00 AM – 3:00 PM
  • Thursday: 8:00 AM – 1:00 PM
  • Some flexibility may be required based on business or event needs.

Position Summary

The Part-Time Office Services & Administrative Coordinator is responsible for supporting the smooth day-to-day operations of the office. This role assists with office administration, mail services, and internal events while serving as a key point of contact for employees, vendors, and visitors.

The ideal candidate is proactive, highly organized, and comfortable managing a variety of operational and administrative responsibilities.

Key Responsibilities

Office Administration

  • Greet visitors and coordinate with building security
  • Coordinate catering deliveries for meetings and events
  • Order, stock, and maintain inventory of office, kitchen, restroom, and facility supplies
  • Maintain office equipment (copiers, paper, toner, etc.)
  • Monitor office space and submit service requests for repairs and janitorial needs
  • Coordinate parking logistics and communicate violations as needed
  • Assist with company vehicle maintenance coordination
  • Schedule vendors for repairs and preventative maintenance
  • Maintain shredding machines and assist with general office upkeep (e.g., dishwasher)
  • Coordinate employee lifecycle gestures (e.g., gifts, flowers)
  • Provide general administrative and operational support as needed

Mail Services

  • Process and meter outgoing mail (First Class, Certified, Priority, International, etc.)
  • Deliver outgoing mail to USPS locations
  • Receive, sort, and distribute incoming mail and packages
  • Create shipping labels and coordinate outgoing deliveries
  • Scan and distribute mail to remote employees
  • Manage daily mail distribution with a high level of accuracy and attention to detail

Special Events & Employee Engagement

  • Order supplies and support quarterly service projects
  • Assist with setup, execution, and cleanup of events
  • Coordinate logistics with partner organizations
  • Deliver donations from service initiatives
  • Support planning and execution of company events (e.g., seasonal gatherings, volunteer initiatives)
  • Assist with general employee engagement activities

Requirements

  • Valid driver’s license
  • Strong organizational and time management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong interpersonal and communication skills

Technology Skills

  • Proficiency in Microsoft Office Suite
  • Experience with mail meter equipment is a plus

Physical Demands & Work Environment

  • Ability to sit or stand for extended periods
  • Frequent walking and ability to lift/carry up to 25 lbs
  • Bending, stooping, kneeling, and reaching as needed
  • Regular operation of a motor vehicle for offsite tasks
  • Office environment with frequent interaction with employees, vendors, and visitors
  • Use of standard office equipment (computers, copiers, mail systems)
