Job Scope:

The Clerical Associate provides various administrative support functions for the distribution center. Duties performed may include receptionist, data entry, record keeping, filing, sorting mail and invoicing along with other clerical duties. The Clerical Associate communicates with customers and corporate staff as required and also with all DC management staff and transportation.

Shift: 2:30pm - 11pm

Outcomes:

  • Clerical - Perform all necessary data entry functions, open and sort mail, greet visitors and maintain an orderly filing system. Assist various departments with the following tasks: type and mail invoices, file office copies, type reports and distribute to appropriate personnel, assist with office duplicating machines, facsimile machines, word processing and miscellaneous duties.
  • Documentation - Ensure the accuracy of all receiving and shipping documents. Assure that receiving counts match packing lists and purchase orders and that shipping counts match picking documents. Assist in resolving any discrepancies. Prepare freight bills and bill of ladings in accordance with company policies.
  • Communication - Answer incoming phone calls in a cheerful, courteous and timely manner and promptly route each call to the proper party, taking messages when necessary. Keep an updated sign out log to record staff members whereabouts. Assist callers with general information and inquiries. Communicate with vendors, stores and corporate staff as required.
  • Maintenance - Maintain reception area, general office area, conference room, computer room and supply closet in a neat and orderly fashion. Assist Office Administrator in maintaining all office equipment and computer systems.

Essential Skills & Qualifications:

The Clerical Associate position requires some general office experience, especially typing, along with some knowledge of computers and other office equipment. Good communication skills and a courteous and pleasant manner are essential. Knowledge of professional telephone techniques and past experience with shipping and receiving operations is helpful.

  • At least 18 years of age or older
  • Ability to follow directions and work well with others
  • High school diploma preferred
  • Six (6) months clerical experience preferred
  • Drug test required
