Job description

Executive Assistant

Provide proactive, high-impact support to President-level and senior executives to enable efficient execution of business priorities across Sammons Financial Group. Operate as a central coordinator of executive operations, ensuring alignment of schedules, communications, and key activities. Serve as a trusted partner to leadership by anticipating needs, managing day-to-day operations, and facilitating cross-functional coordination. Support execution of organizational initiatives, executive communications, and events while maintaining a high standard of professionalism, confidentiality, and operational excellence.

This position will report to the VP Ops Strategy & Planning, but will support the COO and additional executives on the Operations Executive team

  • Manage executive calendars, communications, and daily priorities across multiple leaders, exercising judgment to prioritize requests and optimize executive time, decision-making, and business impact
  • Proactively anticipate executive needs, identify potential conflicts, and implement solutions to maintain continuity and efficiency
  • Review, triage, and respond to correspondence and inquiries on behalf of executives, using sound judgment and discretion
  • Coordinate complex scheduling, travel, meetings and event logistics, ensuring seamless execution and a high standard of detail and organization
  • Prepare, update, and design high-quality presentations, reports, and briefing materials for executive use
  • Track and drive follow-through on action items, deadlines, and deliverables to ensure timely execution of executive priorities
  • Maintain strict confidentiality while handling sensitive information and executive matters
  • Identify and implement process improvements to enhance efficiency, streamline workflows, and elevate the effectiveness of the executive office
  • Support special projects and strategic initiatives aligned to business priorities
  • Maintain an in-office presence aligned with the executives supported

Bachelor's Degree Preferred

  • Minimum 5 years' equivalent work experience within financial services Preferred
  • Extensive knowledge of executive offices' functions and company organizational structure
  • Excellent verbal and written communication skills
  • Excellent office skills, which include: typing, proofing, filing, and organization
  • Strong knowledge of Microsoft Suite including Word, Excel, Outlook and PowerPoint
  • Excellent time management skills and ability to exercise sound judgment
  • Ability to manage requests from several individuals and deal with others at all levels tactfully and respectfully
  • Ability to run and organize daily activities to ensure a smoothly running office in a professional and personable manner

Due to the financial nature and level of accountability of this position, a credit and criminal background check is required. If the position is in the SIG business unit, Annuity New Business Securities team, or if we are holding securities licenses, FINRA regulations require fingerprinting for this position; if we are holding securities licenses, a credit check will also be required. Management reserves the right to determine and approve incumbent suitability for this position.

USD $55,832.00 - USD $93,052.00 /Yr. Range includes data points from multiple labor markets. Specific range is dependent on the labor market where the incumbent will be hired to perform the position. Starting salary is dependent on candidate qualifications and experience. For a narrower salary range specific to your labor market, please inquire.
