We are seeking a highly organized and motivated Administrative Assistant who will provide day-to-day administrative support to our COO while being developed to support and eventually deliver internal training. This role is ideal for someone who enjoys organization, communication, and learning.

Administrative Support

Provide comprehensive administrative assistance to leadership and team members

Manage calendars, schedule meetings, and coordinate logistics

Prepare correspondence, reports, presentations, and training materials

Maintain organized records, files, and databases (digital and physical)

Serve as a point of contact for internal and external stakeholders

Assist with office operations and process improvement initiatives

Manage Vendor Relationships

Training Development

Support existing trainers with scheduling, materials preparation, and session logistics

Observe and participate in training sessions to learn content and facilitation techniques

Assist in updating and maintaining training documentation, guides, and resources

Gradually co-facilitate training sessions under supervision

Learn adult learning principles and internal training methodologies

Eventually deliver training sessions independently as part of a train-the-trainer model

Qualifications & Skills

High school diploma or equivalent required; associate or bachelor’s degree preferred

3-5 years of administrative or office support experience preferred

Strong organizational and time-management skills

Excellent written and verbal communication skills

Comfortable learning new systems, processes, and content

Proficiency with common office software (e.g., Microsoft Office, Google Workspace)
