Job description

Overview

WholeTrees Structures seeks an Assistant Sales Manager with exceptional organizational skills, passion for design, an innate ability to execute tasks, and a love of selling.  This position will serve the needs of a cutting-edge structural round timber manufacturing company. You will be supporting the Sales Department in day-to-day coordination of estimating & sales efforts. Responsibilities include online administration of CRM programs, support in trade-show logistics and participation, use of WholeTrees estimating tool for complex and custom heavy timber assemblies, and nurturing relationships with potential customers, including both inbound leads and organic outbound prospects.

Applicants should have at least 3 years’ experience with sales coordination, as well as proficiency in Microsoft Office (especially excel), Google Workspace, and CRMs such as HubSpot. The ideal candidate will demonstrate an intrinsic ability to organize tasks, prioritize deliverables, enjoy the “art of selling”, and support the needs of the sales department while growing client base and leadership overtime.

Responsibilities include:

Inbound Sales Assistance

  • Assist sales staff with inputting and following up on new sales inquiries.
  • Manage intake documentation, routing, qualification, outreach, and follow-up of inbound sales inquiries.
  • Learn the WholeTrees pricing model in Excel, and support Architectural Sales Managers by providing timely quotes to clients.
  • Support targeted sales campaigns created by the Communications Department by helping define audience, organize contact lists, coordinate outreach materials, and document follow-up activities in HubSpot.
  • Support efforts to improve sales funnel engagement, event organization, and relationship conversion opportunities.
  • Attend trade shows nationwide alongside Architectural Sales Managers and/or Communications staff.

Outbound Sales Assistance

  • Monitor and analyze market activity, project pipelines, and construction trends using platforms such as HubSpot, Dodge Construction Network, and related industry databases.
  • Develop and qualify early-stage relationships and project opportunities, documenting relevant project context, client needs, and next steps in HubSpot before coordinating handoff to the appropriate Architectural Sales Manager
  • Prepare information about qualified targets from the above platforms for Architectural Sales Managers.
  • Manage and track relationship-building activities through CRM systems and reporting tools.

Sales Systems Assistance

  • Assist Sales Department in the documentation and implementation of new and/or improved sales processes. .
  • Assist in compiling sales and marketing data for Sales Department and CEO
  • Research prospective clients, projects, market sectors, and strategic opportunities to support business development initiatives.

 

Additional Responsibilities that may be included over time:

  • Assist Sales Department in the coordination of all logistics related to tradeshows and networking events attended by company personnel
  • Work with Office Manager to support sales staff remotely with administrative tasks related to our Continuing Education presentation (our Lunch and Learns).
  • Assist in the creation of sales and marketing reports for presentation to the CEO and Board of Directors and potential investors.
  • Cultivate early-stage professional relationships with architects, developers, contractors, strategic partners, industry organizations and prospective clients, in preparation for handing sales opportunities to Architectural Sales Managers.
  • Assist CEO with her strategic sales targets, both Inbound and Outbound.
  • Attend to assigned sales inquiries, closely following company sales systems and processes.
  • Execute Continuing Education presentations (Lunch and Learns), including scheduling, attendee tracking, presentation, communication, and follow-up engagement.
  • Participate in the preparation and delivery of presentations, educational materials, speaking engagements, and client-facing content.

 

Required skills:

  • Proven office management, administrative or assistant experience
  • Experience with estimating custom components and projects, or willingness to learn this highly detail-oriented activity
  • Excellent time management and ability to multi-task, be adaptable, and prioritize work
  • Excellence in Microsoft Office: Word, PowerPoint, and especially Excel (including charts) & Google Suite (Docs, Slides, Sheets)
  • Self-motivated with exceptional organization and attention to detail
  • Love of Sales Processes and the Art of Sales
  • Excellent oral and written communication skills
  • Preferred: Adobe Creative Suite; BlueBeam Revu

Compensation & Management:

Salary will be commensurate with experience.  After the first 30 days of full-time employment, a full benefits package will be provided including paid holidays, accrued paid time off and a health benefit package.  Direct Supervision will be managed by the company’s Executive Assistant, with goals and KPIs outlined by the CEO.
