Job Summary:
Under the supervision of the Assistant Dean and Director of Housing and Residence Life, the Associate Director for Housing Operations provides leadership for the operation, maintenance, custodial services, and facility stewardship of the University's residential communities. The position oversees daily facility operations, supervises housing facilities personnel, manages vendor and contractor relationships, coordinates maintenance efforts, administers operational budgets, and collaborates with campus partners to provide safe, functional, attractive, and well-maintained living environments that support student success. The Associate Director exercises independent judgment in the daily management of housing operations while advancing departmental and institutional priorities through collaborative leadership, sound decision-making, and exceptional customer service.
Job Description:
Responsibilities:
1. Leadership & Personnel Management
  • Hires, trains, supervises, develops, and evaluates three Housing Custodial Supervisors and approximately ten custodial and maintenance employees.
  • Establishes performance expectations and promotes a culture of accountability, professionalism, teamwork, continuous improvement, and exceptional customer service.
  • Conducts regular meetings with supervisors to coordinate operations and safety.
  • Oversees employee scheduling, work assignments, attendance, leave management, and daily operational priorities.
  • Ensures compliance with university policies, safety requirements, and on-call responsibilities.
  • Coordinates staff development and completes performance evaluations.
  • Provides leadership during operational change.

2. Facilities Operations & Logistics
  • Oversees operation, maintenance, and custodial services for all residential facilities.
  • Develops preventative maintenance and inspection programs.
  • Conducts routine inspections.
  • Coordinates maintenance with Facilities Services and contractors.
  • Oversees key/access management including KeyTracer.
  • Coordinates purchase and inventory of furnishings and equipment.
  • Coordinates Summer Programs housing support.
  • Oversees opening/closing inspections and damage documentation.
  • Assists with long-term facility renewal and deferred maintenance planning.
  • Recommends operational improvements.

3. Customer Service & Relationship Management
  • Promotes responsive, solution-oriented customer service.
  • Maintains collaborative relationships with campus partners.
  • Represents Housing on facility planning and renovation projects.
  • Develops productive relationships with vendors and contractors.
  • Monitors contractor performance and compliance.
  • Collaborates with Residence Life staff.
  • Communicates effectively with students, families, faculty, and staff.

4. On-Call & Emergency Response
  • Participates in on-call rotation.
  • Oversees Housing Maintenance On-Call Program.
  • Responds to after-hours emergencies.
  • Coordinates emergency response with campus partners.
  • Exercises sound judgment during emergencies.
  • Maintains knowledge of crisis protocols.

5. Administrative & Financial Stewardship
  • Develops and monitors operating budgets.
  • Oversees procurement of supplies, equipment, and contracted services.
  • Evaluates products for cost, sustainability, and durability.
  • Oversees damage assessment processes.
  • Maintains operational records and databases.
  • Assists with contracts and prepares reports.
  • Completes performance review process with supervisor/employees to understand job performance expectations and how they fit into the department and University goals.
  • Performs other duties as assigned by supervisor in support of the goals and objectives of the department and the Division of Student Life. Relationships:
Daily contact with members of the Residence Life team, immediate supervisor, students, and student staff to plan, coordinate, problem solve, and present information related to mutual goals.
Develops collaborative relationships with Housing and Residence Life staff, Facilities Services, University Police, Student Life, Procurement, Finance, Environmental Health and Safety, Information Technology, Summer Programs, contractors, vendors, architects, consultants, students, parents, faculty, and staff.
Builds relationships grounded in collaboration, trust, accountability, professionalism, and mutual respect.
Responsibility for Final Decisions:
Exercises independent judgment regarding the daily operation of residential facilities within established university policies.

Education/Skill Requirements:
bachelor's degree required.
Three to seven years of progressively responsible facilities or housing experience with supervisory experience preferred.
Strong leadership, communication, budgeting, project management, customer service, and decision-making skills.
Work Conditions:
Work is performed in office and residential facility environments.
Some evening/weekend work and participation in an on-call rotation required.
