IDS International is looking for a full-time Operations Associate. This individual will support the day-to-day activities for all worldwide personnel movements located overseas. Day-to-day activities include, but are not limited to documentation management, ordering uniforms, scheduling travel arrangements, coordinating vaccinations and medical preparations, assisting with obtaining security clearances, and other related activities related to deployment. The workload on this project is typically fast-paced and high-volume.
This position must demonstrate subject matter expertise and strong professional judgment in a variety of proposal, contractual and marketing concepts, practices, and procedures. You will need to rely on your experience and judgment to plan and accomplish goals. The individual in this role will collaborate and coordinate on the collective PMO work effort with other employees, as necessary. A high degree of autonomy, authority, and control is required.
Responsibilities:
  • Processes paperwork for new hires and rehires in conjunction with the HR department.
  • Assists with recruiting, hiring, coordinating monthly training forums and deployments of Site Security Personnel (SSP).
  • Handles and/or expedites employee issues to include payroll, health insurance, workers compensation, and emergency issues (medical evacuations) that may arise on behalf of personnel deployed overseas.
  • Prepares correspondence, justifications, and other queries to support day-to-day operations internally within IDS/Program and externally with the US State Department.
  • Manages files, spreadsheets and databases for all active and inactive personnel associated with the OBO program.
  • Reviews and analyzes logistical invoices for contract compliance.
  • Ensures authorizations are approved, receipts are captured, and reviews documentation prior to Program Manager's (PM) or Deputy Program Manager's (DPM) approval.
  • Monitors cost effectiveness of purchase orders for uniforms, airline tickets, housing, local transportation, medical examinations, and immunizations.
  • Evaluates and recommends ways to improve the effectiveness and efficiency of work operations in a program or support setting.
  • Serves as a liaison for between IDS Program Management Office (PMO) and Department of State officials by responding to administrative and programmatic issues.

Required Qualifications:
  • Bachelor's degree or equivalent experience
  • 1+ years of experience supporting complex programs
  • Secret clearance
  • Strong organizational skills

Preferred Qualifications:
  • Bachelor's degree in Political Science and/or Government/Inter-agency Studies and/or National Security & Strategic Studies
  • Experience supporting the State Department
  • Experience supporting deployed personnel

Computer Skills:
  • Proficiency in all Microsoft Office products.
