Job description

Manager of Logistics & Transportation Operations

Position Purpose

The Manager of Logistics & Transportation Operations plays a critical role in overseeing driver training, customer service, and fleet maintenance. This position ensures that daily medication pick-ups and deliveries are executed on time while maintaining peak vehicle availability and operational efficiency.

The ideal candidate possesses comprehensive knowledge of Milwaukee and the surrounding areas to effectively manage client routing and scheduling within established budgetary guidelines. Additionally, the Manager will develop preventive vehicle maintenance programs, manage vendor relationships, and oversee administrative procedures. This hands-on leader will spearhead scheduling, dispatching, and driver oversight, driving continuous improvement and ensuring strict compliance with all applicable healthcare and transportation regulations.

Key Responsibilities

Operational Leadership & Fleet Management

  • Strategic Planning: Provide hands-on leadership and vision regarding volume forecast models and annual operational planning.
  • Route Optimization: Monitor and direct driver activities using GPS software and engineered route templates, balancing customer time windows, driver efficiency, and engineered route times.
  • Fleet Maintenance: Develop, implement, and manage a robust Vehicle Preventive Maintenance Program; manage outside vendor and service provider relationships.
  • Contingency Management: Dynamically adjust driver assignments during operational disruptions (e.g., mechanical failures, sudden staffing shortages, supply chain issues, or fluctuating fuel consumption).
  • Field Support: Willingly step in to perform delivery driver tasks when extraordinary staffing shortages or emergencies arise.

Compliance & Quality Assurance

  • Regulatory Compliance: Ensure all medication deliveries comply with relevant state, federal, and healthcare laws.
  • DOT Oversight: Maintain strict Department of Transportation (DOT) compliance, including Hours of Service (HOS) monitoring, safety regulations, and required drug screening.
  • Record Keeping: Maintain accurate, up-to-date driver records and administer the PARS program.
  • Auditing & Inventory: Routinely audit operational functions to ensure adherence to standard operating procedures (SOPs); retain oversight of daily cycle counts to guarantee total inventory accuracy.

Performance & Talent Management

  • Team Development: Lead site-wide performance by assessing key performance indicators (KPIs), conducting training, fostering talent development, and managing employee counseling.
  • Talent Acquisition: Support the recruitment, interviewing, and onboarding of qualified candidates who align with delivery and operational goals.
  • Performance Accountability: Take ownership of daily on-time delivery metrics, driver performance, inbound trailer scheduling/unloading, and overall customer satisfaction.

Customer Service & Communication

  • Stakeholder Engagement: Provide exceptional customer service to patients, internal partners, and external vendors.
  • Open Communication: Maintain continuous, professional, and courteous interaction with patients, partners, and subordinates.

Qualifications

Experience & Education

  • Management: Minimum of 1 year of experience directly managing a team (experience leading teams of 10+ employees preferred).
  • Logistics: 2 to 4 years of experience in shipping/receiving, transportation, or distribution management preferred.
  • Education: Bachelor’s degree in operations, Supply Chain/Logistics, or a related field preferred. An equivalent combination of education and hands-on experience will be considered.
  • Industry Knowledge: Prior experience working within a pharmacy or healthcare environment is highly preferred.

Technical & Soft Skills

  • Data Analysis: High proficiency in Excel and IT database creation; proven ability to use quantitative data analysis to generate ideas, solve problems, and drive measurable results.
  • Communication: Exceptional interpersonal, written, and verbal communication skills.
  • Execution: Demonstrated ability to work under pressure, resolve conflicts, and meet tight deadlines in a fast-paced environment.
