Job description

Administrative Assistant

Due to a promotion, Homestretch is seeking a highly organized, dependable, and mission minded individual with demonstrated commitment to treating individuals and families experiencing homelessness with dignity, respect, and cultural humility to support our Executive Director, Development and Programs teams. This position reports to our Executive Director and plays an important role in keeping our office operations running smoothly while providing professional, confidential, and responsive administrative support.

The ideal candidate is an articulate and organized professional who can manage multiple priorities, maintain appropriate boundaries, exercise sound judgment, and work effectively in a fast-paced environment.

 

Key Responsibilities

  • Provide specialized administrative and confidential support to the Executive Director, development  and program teams.
  • Answer and screen incoming telephone calls and take appropriate action.
  • Screen visitors and manage office access.
  • Coordinate donation and household-item pickups with the deputy director and outreach & volunteer coordinator.
  • Support development team with special projects, events, and correspondence
  • Assist with donor mailings and acknowledgements. Prepare materials for fundraising events and donor meetings. Assist with the event registration, guest lists, name tags, supplies and logistics.
  • Assist with volunteer coordination and event-day logistics.
  • Assist program staff with preparation for monthly Life Skills classes.
  • Order and maintain office supplies.
  • Assist with coordinating building maintenance requests as needed.
  • Help coordinate staff morale and appreciation activities, including birthday celebrations and work milestones.
  • Perform other duties and special projects as assigned.

Qualifications

Required:

  • Associate's degree, bachelor's degree, or equivalent combination of education and relevant administrative experience preferred.
  • Proficiency with Microsoft Office Suite and general computer applications.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to establish and maintain clear professional boundaries.
  • Ability to interact with clients, donors, staff, directors, and members of the public in a respectful and non-judgmental manner.
  • Ability to work effectively under pressure, manage competing priorities, and meet deadlines.
  • Strong attention to confidentiality and the ability to protect sensitive organizational and client information.

Preferred:

  • Bachelor’s degree.
  • Experience working in a nonprofit or human services environment.
  • Bonus: fluency in Spanish, Amharic, Arabic.
