Job description

Job Summary:

Responsible for monitoring and scheduling day-to-day operations, workflow and personnel of the Lock Box staff.


Duties and Responsibilities:

  • Supervise staff of up to 5 team members.
  • Manage day to day operations of Lockbox department and staff. Directs and implements Lockbox focused operations.
  • Identify and implement procedural changes within Lockbox department.
  • Responsible for the quality of Lockbox processing, and taxpayer services to always ensure quality taxpayer support.
  • Respond to taxpayer questions and correspondence while maintaining quality service.
  • Work in conjunction with other departments to ensure coordination of RDS processing taxpayer service functions.
  • Supervises the daily pick-up and drop off mail to/from USPS, UPS, and FedEx, including processing and distribution; accurate prepping of batches; distribution/processing of faxes and the General Voicemail Box; tracking volume and assignment of mail, letters and projects.
  • Ensure check deposits have been scanned to bank timely, or taken to the bank as necessary, approved and verified.
  • Oversee mail room, supply room, break room, reception, conference rooms, and storage room upkeep. Manage stocking and ordering of supplies. Assist in ordering and setting up luncheons and events.
  • Prepare and process necessary expense reports.
  • Coordinate Shred-it pick up schedule as well as follow retention schedules for document destruction.
  • Communicate and coordinate machine maintenance as needed.
  • Responsible for ensuring Iron Mountain retention batch boxes are maintained.
  • Provide management with daily/weekly/monthly reports of audits and findings.
  • Perform other duties as assigned.


Education and Experience:

  • Associate degree or the equivalent amount of related experience - preferred.
  • 2+ years in an office environment - preferred.
  • 1+ year prior supervisory experience of 3+ team members - preferred.


Knowledge, Skills and Abilities:

  • Strong interpersonal skills and ability to speak effectively with clients and employees.
  • Ability to proofread correspondence, detect and correct errors.
  • Ability to prepare routine correspondence and replies for signature with minimal guidance.
  • Ability to perform basic math computations using online, desk top calculator, or creating calculations in spreadsheets.
  • Ability to satisfactorily resolve routine situations based on managerโ€™s guidance or written or verbal instructions.
  • Proficient knowledge of operating all mailroom/office machines.
  • Proficient in MS Word, Excel, and Outlook.
  • Alabama Sales and Use tax knowledge preferred


Work Environment:

  • The noise level in the work environment is usually moderate as the employee works in an office setting, at an individual work station, using telephone and computer


Physical Demands:

  • Must be able to lift boxes up to 50 lbs. (Maintaining Iron Mountain records)
  • Must be able to remain in a stationary position for most of the day
  • Constantly operates a computer and other office productivity machinery, such as a printer/copy machine
  • This position needs to occasionally move about inside the office
  • The person in this position frequently communicates via telephone
