Job Overview
The Marketing Associate serves as a vital support role for both the Client Solutions and Media teams, managing a diverse range of marketing processes and projects for high-profile entertainment clients. This position requires strong organizational skills, attention to detail, and the ability to coordinate multiple advertising campaigns across various media channels. The ideal candidate will be adaptable, collaborative, and able to thrive in a fast-paced agency environment while supporting senior team members in delivering exceptional service to clients.
Essential Duties And Responsibilities
Media Trafficking and Campaign Management
  • Maintain and traffic ad plans including updating templates, building insertion orders, and providing traffic instructions
  • Ensure proper placement across all advertising mediums (TV, print, OOH, radio)
  • Work with vendors to track advertisement placements, build billing statements, and collect affidavits for campaign settlements
  • Secure client approval of ad campaigns and traffic ads for placement
  • Maintain updated rates and media kits through direct communication with media representatives

Client Support and Coordination
  • Take detailed notes during meetings and transmit recaps through active listening, research, and organization
  • Coordinate localization of print ads, radio and TV spots, and promotional materials
  • Work with client ticketing departments to build discount offers and qualifier codes
  • Track results for client reporting
  • Assist Account Strategists/Media Buying team with scheduling and coordinating intern duties

Financial and Administrative Support
  • Support billing processes including invoice processing and reconciliation
  • Manage design order requests and coordinate with creative teams
  • Maintain accurate financial records for client campaigns
  • Create and update ad plan templates and systems for trafficking
  • Handle general administrative tasks including filing, copying, shipping/mailing

Promotions and Partnerships
  • Build and manage promotional partnerships with organizations and vendors
  • Negotiate trade and promotional opportunities as well as grassroots efforts
  • Coordinate and track trade/promotional tickets and set up discount offers with promotional partners
  • Assist in coordination of promotional appearances
  • Provide on-site support for clients and events as needed

Skills, Knowledge, And Abilities
  • Proficiency in Microsoft Office Programs in a Mac environment
  • Experience with Google Drive and Google Docs
  • Knowledge of Adobe Creative Suite (recommended but not required)
  • Ability to learn new digital software quickly
  • Experience with digital and online/social media applications
  • Excellent interpersonal, customer service, and organizational skills
  • Ability to make swift decisions and solve problems quickly under pressure

Details:
  • This position will be eligible to participate in the standard benefits offered to full-time employees of Allied Global Marketing (medical, dental, vision, short-term and long-term disability and life insurance as well as 401k, paid parental leave, and Flex PTO). We also offer 10 company paid holidays.
  • The the annual salary for this full-time position is $45,000.
