Operations Manager - Job Description
A top priority at WAC is to make sure that our facilities run efficiently and effectively at all times. As an Operations Manager, you are responsible for all aspects of Maintenance and Cleaning. You lead your Maintenance and Cleaning Team members and ensure that all machines and facility components operate at the highest standards. You oversee daily, weekly and monthly cleaning tasks, such as dusting, sweeping, vacuuming, mopping, scrubbing ceiling fans/vents and cleaning restrooms/wet areas. This is not a behind the scenes position - you are on the front-line having fun and connecting with Team Members, club members and guests. You make relationships with members and guests that you see every day while fixing equipment. You have the opportunity to let your personality shine and develop future leaders.
Key Responsibilities
Leadership & Aggressive Hospitality
  • Display a member-first attitude by not only being raving fans of WAC, but also for creating raving fans; we are all responsible for attracting and retaining members.
  • Be what you want to see - live the mission and core behaviors.
  • Provide ongoing coaching to Maintenance and Cleaning Team Members to take action and to achieve ops goals.
  • Constantly recruit and train Operations Team Members, encouraging personal and professional development.
  • Identify, communicate and delegate responsibilities to Maintenance and Cleaning Team Members to ensure smooth club operations - this starts with the daily walk-through.

Team Building
  • Build and mentor a winning Operations team.
  • Pick the best people - lead Maintenance and Cleaning recruiting efforts.
  • Paint a picture and show Operations Team Members a path - inspire the best to exceed their potential at WAC.
  • Provide great training - actively learn, apply and share with your team.
  • Give Maintenance and Cleaning Team Members regular feedback and ask great questions.
  • Catch people doing things right and hand out WAC Bucks.

Planning & Execution
  • Lead annual reviews of Maintenance and Cleaning Team Members.
  • Create and follow annual Maintenance and Cleaning calendar, including pool cleaning and court refinishing.
  • Develop and manage Maintenance and Cleaning monthly schedules to ensure club is properly staffed.
  • Communicate clearly, concisely and accurately by utilizing every major form of communication. Be available.
  • Check in with General Manager daily to prioritize ongoing to-do list.
  • Ensure that everything in the facility is safe and operational.
  • Responsible for everything in the Maintenance and Cleaning departments.

Operations Manager - Performance Expectations
Daily Operations
  1. Execute hourly walk-throughs of the facility to ensure proper conditions.
  2. Be visible and interact regularly with members.
  3. Monitor the day-to-day operations of Maintenance and Cleaning department.
  4. Attend Leadership Meetings when necessary.
  5. Communicate effectively through a variety of mediums.
    • Initiate weekly communication with Director of Maintenance.
    • Obtain equipment and facility feedback from Team Members of all departments.
    • Send WAC Connections communication.
    • Be available for communication during all hours. When necessary, designate an assistant or MOD.
    • Follow up on all Maintenance and Cleaning emails, texts, suggestion box and social media communication.
    • Create Maintenance-specific annual calendar, including annual pool cleaning and court maintenance.
    • Notify General Manager about work schedule and priorities list.

Team
  1. Actively recruit, interview, train, coach and develop Maintenance and Cleaning Team Members.
  2. Responsible for all Maintenance and Cleaning Team Member disciplinary actions, including possible dismissal.
  3. Conduct new Team Member Wow Training process.
  4. Ensure 90-day and ongoing Team Member evaluations.
  5. Pursue ongoing personal and professional development and share what you learn with others.
  6. Work a variety of hours to build solid relationships with Team Members and catch people doing things right.
  7. Implement all Team Member policies and procedures.
  8. Delegate tasks to Team Members when necessary.

Safety
  1. Coordinate regular inspections of all areas of the club for safety.
  2. Report all structural problems, inside and outside, to General Manager and Director of Maintenance.
  3. Oversee pool operations and check in regularly with the Certified Pool Operator.
  4. Know and teach the Safety Plan and Emergency Action Plan.
  5. Follow all month end, insurance, liability and incident report procedures.
  6. Report broken equipment and building concerns immediately to General Manager and Maintenance department.

Financial
  1. Be fiscally responsible. Initiate profit and loss statement conversations with the General Manager.
  2. Gather multiple bids before ordering items.
  3. Responsible for monitoring Maintenance and Cleaning department inventory.
  4. Audit and approve Operations payroll twice per month; be mindful of hours with respect to the Affordable Care Act.
  5. Monitor Maintenance and Cleaning staffing levels during peak and non-peak hours.

Income Generation
  1. Maintain the facility at the highest possible level to ensure membership and revenue growth.
  2. Train Maintenance and Cleaning staff how to up-serve or recommend programs that members might be interested in.
  3. Participate in community organizations and positive social media to actively promote club.

Programming
  1. Assist in setup and breakdown for special events.
  2. Attend and evaluate current programs and classes.
  3. Be aware of Maintenance and Cleaning-specific website and social media content to ensure accuracy.

New Member Integration & Retention
  1. Welcome and connect with members and guests.
  2. Help integrate new members into the club via programs and activities.
  3. Be personally committed to fitness by actively going through the retention program sessions.
