Job Description 

Summary/objective

To provide administrative support to the Experiential Learning Center in working with all students and alumnae/alumni searching for career and experiential learning opportunities; including internships, jobs, graduate school admission and/or planning to study abroad. Serve as point of contact and receptionist; and to assist with essential project work for both the Career Development Center and the Office of International Programs and Services.  

*Provides some supervision of work-study students and/or interns as needed.

Must effectively carry out the essential duties and responsibilities of this position in a manner that consistently demonstrates Randolph College’s mission and core values in a positive manner.

• Serve as the first point of contact for the Experiential Learning Center by welcoming visitors, responding to inquiries, providing information about services and programs, and connecting constituents with appropriate staff and resources.

• Maintain accurate records, databases, and filing systems for the Career Development Center and International Programs and Study Abroad office, including all internship registration materials and study abroad documentation.

• Coordinate and manage appointment scheduling and calendars for Experiential Learning Center staff, ensuring efficient scheduling of student appointments, employer visits, information sessions, workshops or events.

• Manage event registration processes and logistical arrangements, including reserving meeting spaces, coordinating participant communications, and preparing event materials.

• Monitor inventory and oversee the ordering and distribution of office supplies and materials to support daily operations.

• Process purchasing requests, invoices, reimbursements, and other business office documentation in accordance with institutional policies and procedures.

• Maintain and update departmental websites, social media platforms, and other on campus communication channels to promote programs, events, resources, and student opportunities.

• Coordinate and execute on-campus programs and events, including marketing and promotion, room reservations, catering arrangements, and event setup.

• Collect, track, analyze, and report participation and outcome data for Experiential Learning Center programs to support assessment, annual reporting, and strategic planning efforts.

• Assist with special projects, serve on committees or workgroups as assigned, attend departmental and campus meetings, and perform other duties as needed to support the mission of the Experiential Learning Center.

Requires standing/walking/sitting for extended periods. May occasionally lift 10/15 lbs.

Required education and experience

  • Associate degree or some education beyond the H.S. diploma 
  • Excellent written and oral communication skills, along with interpersonal skills

  • Flexibility, excellent organizational and interpersonal skills 
  • Self-starter/self-motivated individual with the ability to pay attention to detail
  • Evening or weekend work sometimes required 
  • Valid U.S. driver’s license with good driving record 

Preferred Qualifications

  • Bachelor’s degree 
  • Three to five years administrative experience or experience in higher education
  • Graphic Design skills desirable
