Job Summary:

Samuels Associates is looking for a sharp, driven Property Administrator ready to step into one of the most exciting real estate opportunities in Boston. This is not your average admin role! You will be at the operational heartbeat of P12/Lyrik, a landmark mixed-use development that’s redefining Back Bay.

With a wide cast of stakeholders from global corporate tenants to boutique retailers, this role demands someone who can communicate with confidence, stay three steps ahead, and thrive in a dynamic, high-visibility environment. As the face and backbone of day-to-day property operations, you will the connection between commercial and retail tenants, contractors, and vendors delivering a seamless, world-class experience at every touchpoint.

P12/Lyrik is one of Boston’s most anticipated mixed-use developments, perfectly positioned at the end cap of Newbury Street in the heart of Back Bay. This iconic property is home to the global and US headquarters of CarGurus and LEGO respectively, a flagship 399-key citizenM hotel, and a vibrant multi-level retail plaza — bridging the city’s most energetic retail and commercial corridors.

You Will:

  • Be the organizational backbone of the Property Management team by managing admin tasks, document systems, and filing structures that keep the property running like clockwork.
  • Own the financial pulse: oversee AP/AR, process vendor setups and invoices, enforce budget compliance, coordinate monthly tenant work order billings, and support monthly financial reporting packages.
  • Keep contracts and compliance airtight: administer vendor agreements, track renewals and expirations, and ensure all COI documentation stays current and company-compliant.
  • Serve as the go-to connector for tenants, contractors, and vendors by fielding inquiries, scheduling work, dispatching personnel, and ensuring contractor insurance compliance at all times.
  • Champion the tenant experience by managing the Work Order platform, guiding tenants through fit-out, and maintaining the amenity space calendar.
  • Lead weekly property walkthroughs and deliver timely daily and weekly reports to internal teams and third-party partners.

Skills and Qualifications:

  • A Bachelor’s degree is preferred; a background in Real Estate, Business Administration, or a related field is a bonus.
  • 1–3 years of hands-on experience in property management, real estate operations, or a related administrative role.
  • A communicator at heart who writes clearly, speaks confidently, and can translate complex instructions into action without missing a beat.
  • A natural organizer who can juggle competing priorities in a fast-paced environment.
  • Comfortable and capable with property management software and the Microsoft Office Suite.
  • A collaborative and proactive problem-solver

 

Compensation

  • Base Salary Range: $55,000-$65,000- commensurate with experience
