The Senior Imaging Specialist is responsible for the end-to-end processing, imaging, indexing, validation, and quality assurance of inbound documents and faxed submissions. This position supports enterprise document management operations by ensuring documents are accurately prepared, scanned, classified, indexed, verified, and uploaded into the organization's electronic content management system (ECM). The role plays a critical part in maintaining data integrity, supporting workflow processing, and ensuring timely access to member and retiree records.
The Senior Imaging Specialist works in a fast-paced, high-volume environment and must demonstrate exceptional attention to detail, strong analytical skills, and the ability to identify and resolve document processing exceptions while adhering to established service level agreements (SLAs).

Essential Duties and Responsibilities include the following:

  • Receive, organize, batch, scan, and process inbound documents and faxes from multiple sources.
  • Create and manage document batches within the ECM system, ensuring proper classification, routing, and workflow processing.
  • Operate scanning equipment and troubleshoot imaging issues to ensure high-quality document capture.
  • Index, enter, validate, and verify document data, ensuring accuracy, completeness, and proper record association; identify discrepancies, and route items for correction as needed.
  • Process Designation of Beneficiary forms and enter beneficiary information into applicable systems.
  • Perform quality control and verification of scanned documents, indexed records, and data entered by team members.
  • Research, resolve, and escalate document processing exceptions, including missing information, imaging errors, and classification issues.
  • Monitor documents through all stages of processing to ensure timely completion and compliance with service level expectations.
  • Maintain records management and retention standards in support of digital document management initiatives.
  • Serve as backup to the Imaging Supervisor and provide operational support as needed.
  • Assist with special projects, departmental initiatives.
  • Other duties as assigned.

Minimum Qualifications:

  • High School Diploma or equivalent GED is required
  • Minimum two years' experience in imaging operations, document management, records management, or similar role
  • Proficiency with imaging systems, including scanners and batching equipment
  • Proficiency with Microsoft Office, and data entry

Preferred Qualifications:

  • Previous experience working in the public sector
  • Experience with document capture platform(s)

Hiring Range:

$49,805-$52,000
