Light of the World Catholic Paris is seeking a Part-Time Administrative Assistant to work Monday 8am โ€“ 3pm, Tuesday & Friday 8am - 5pm.


Position Summary

The Part-Time Office Administrative Assistant will be part of a two-person team. The Office Administrative Assistant serves as the face of Light of the World Catholic Church. This person will be a welcoming and organized presence within the parish offices, supporting the pastoral team, ministries, and parishioners. This role is responsible for administrative, liturgical, and hospitality-oriented tasks that help ensure the smooth day-to-day functioning of the parish. The ideal candidate is detail-oriented, compassionate, discreet, and committed to serving the mission of the Catholic Church.


Key Responsibilities

Administrative & Stewardship Support

  • Handle daily voicemails, phone calls, and walk-in visitors with professionalism and pastoral sensitivity.
  • Maintain and update the parish staff directory, birthday lists, and associated teams for birthdays.
  • Manage incoming mail daily.
  • Process mailed-in offertory donations and ensure accurate documentation.
  • Assist offertory counters as needed.
    • Contact parishioners when checks require correction or clarification.
  • Oversee ink cartridge recycling and office organization.

Ministry & Event Support

  • Assist in parish event planning, including coordination and day-of support.
  • Support ministry events requiring staff assistance.
  • Serve as a ministry liaison, ensuring communication between ministries and the parish office.
  • Provide general support for ministry needs.
  • Help coordinate annual parish gatherings such as the Ministry Fair and Ministry Appreciation Dinner.
  • Provide administrative support for the Food Pantry and Praying for the Dying Ministry, including labels, nametags, and materials.
  • Coordinate with outside groups (AoD events, other parishes, Catholic organizations.)

Purchasing & Hospitality

  • Manage purchasing and ordering of parish office kitchen supplies (snacks, coffee, etc.).
  • Order lunch for Staff Connect birthdays (typically Tuesdays or as scheduled).

Team Shared Responsibilities

  • Assist with Mass intention scheduling.
  • Support parish ministries by helping with registrations and forms (e.g., Menโ€™s Club events, scholarship forms, liturgical ministry sign-ups, etc.).
  • Facilitate requests for anointing of the sick or priest visits, ensuring timely communication.
  • Oversee and troubleshoot the copier, including contacting service providers as needed.
Requirements:
  • Commitment to the mission of forming disciples to live and share the abundant life of Christ.
  • Prior experience in administrative support, parish work, or ministry preferred.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal skills with a pastoral heart.
