Bolton & Menk has a great opportunity for an Administrative Assistant to join our team in our Grand Rapids office. We are looking for an enthusiastic assistant who can anticipate needs and work on a wide variety of administrative and project support services for our multidisciplinary team. This is a jack-of-all-trades position with an emphasis on receptionist duties, clerical support, shipping and receiving, event planning and scheduling. This role also provides project specific support related to client calendars, project manuals, project bidding, project permitting, PIFs, reports, etc.

What You Will Be Doing:

  • Planning and Document support: Proofreading documents, Formatting documents using styles, complying with accessibility requirements; Scanning and OCR’ing hard copy documents; Printing, collating materials for public meeting
  • Prepare correspondence and various reports as directed including creating and updating agendas and meeting minutes
  • Coordinate logistics for office events, training, client visits, and other activities to include setup and clean up.
  • Perform receptionist duties & answer incoming calls
  • Processes or assists with incoming/outgoing mail, packages, and documents.
  • Maintains adequate level of office supplies and refreshments while communicating with vendors for office maintenance.
  • Create a positive and professional image of the firm and maintain effective working relationships with BMI clients, vendors, and staff.
  • Provide overflow administrative support to the broader administrative team across the organization as priorities require.

What We Are Looking For:

  • Two (2) year degree in business related field and four years of related experience or equivalent combination of education and experience.
  • Proficient skills in Microsoft Word, Excel, PowerPoint and Outlook
  • Strong content creation and editing skills.
  • Experience drafting & editing correspondence required - strong grammar skills
  • Must possess a valid driver’s license
  • Must be detail orientated
  • Experience in construction or engineering services preferred

Salary Range: $37,500 - $65,000 depending on years of experience and credentials
