Callahan & Fusco is seeking a Litigation Support Manager to oversee and coordinate paralegal and legal assistant operations across our Florida offices and Georgia support staff.
This is a litigation operations leadership role responsible for driving consistency, quality control, and procedural discipline across multiple offices and jurisdictions. The position serves as a key counterpart to firm-wide legal operations leadership and plays a critical role in maintaining a unified approach to legal support across the firm.
This role is designed for a candidate with hands-on insurance defense litigation experience who can lead from experience—not theory. The ideal candidate understands how litigation work is performed in practice and can translate that knowledge into effective processes, training, and oversight across multiple teams.

What You’ll Do
Lead Regional Legal Support Operations
• Oversee paralegals and legal assistants across Florida and Georgia support teams
• Provide direction, support, and accountability to senior paralegals and senior legal assistants
• Serve as the primary escalation point for workflow, staffing, and performance issues
Drive Cross-Office Consistency
• Align Florida and Georgia operations with firmwide standards and procedures
• Reinforce a “one firm, one standard” approach across offices
• Address inconsistencies and operational friction between teams
Own Process & Procedures
• Implement and maintain SOPs across offices, including:
• Filing and service procedures
• Calendar management
• Mail handling
• File and document organization
• Identify inefficiencies and drive process improvements
Ensure Quality Control
• Establish and enforce quality standards for legal support work product
• Conduct periodic QC reviews across offices
• Address recurring issues with structured, scalable solutions
Manage Workflow in a Pooled Model
• Oversee legal support workflows within a pooled staffing structure
• Ensure balanced workload distribution across teams
• Limit unnecessary file-specific assignments except where required
Support Staffing & Capacity Planning
• Monitor workload trends and identify staffing needs across offices
• Develop recommendations related to hiring, overtime, and resource allocation
• Partner with firm leadership on operational planning
Lead Onboarding & Training
• Oversee onboarding of paralegals and legal assistants (in coordination with HR)
• Ensure consistent training across offices
• Support ongoing development and performance improvement
Collaborate with Leadership
• Serve as liaison between attorneys, support staff, and firm leadership
• Provide visibility into operational challenges and opportunities
• Present solution-oriented recommendations

Billable Structure
This role is structured based on the selected candidate:
• A paralegal-forward candidate may carry a reduced, clearly defined billable hour expectation, with leadership responsibilities remaining the primary focus
• A legal assistant-forward candidate will not have a billable requirement and may support a limited number of attorneys to maintain operational familiarity
Performance is measured by consistency, quality, and operational effectiveness—not just individual production.

Required Qualifications
• 7+ years of insurance defense litigation experience
• Strong working knowledge of Florida litigation practice (required)
• Experience supporting or overseeing multi-office legal support teams
• Hands-on experience with the full litigation lifecycle, including:
• Pleadings
• Discovery
• Motion practice
• Expert coordination
• Trial preparation
• Strong leadership, organizational, and problem-solving skills

• Experience with Georgia litigation practice
• Experience in a multi-office or regional law firm environment
• Familiarity with New York or New Jersey practice (a plus for cross-office alignment)
• Experience working within a pooled staffing model
• Trucking and transportation litigation experience

• Based in Fort Lauderdale, FL
• Minimum 4 days per week in office required
