This role is not administrative support—it’s strategic case execution. You partner closely with attorneys to drive litigation forward, manage discovery, coordinate hearings, and ensure every file reflects the highest standard of preparation. You are a master of organization, a proactive problem-solver, and a trusted team member who anticipates needs before they’re spoken.

Core Responsibilities
Case Management amp; Support
  • Manage assigned litigation caseloads, ensuring every file remains active, compliant, and strategically progressing.
  • Prepare, review, and organize pleadings, motions, discovery responses, and exhibits.
  • Maintain litigation calendars—tracking deadlines, court appearances, and hearings.
  • Draft correspondence and legal documents with accuracy, consistency, and adherence to court rules.
Discovery amp; Trial Preparation
  • Coordinate written discovery, subpoenas, depositions, and expert communication.
  • Summarize records, depositions, and discovery responses for attorney review.
  • Prepare comprehensive trial binders, witness lists, and exhibit indexes.
  • Support attorneys during mediation, arbitration, and trial by anticipating needs and managing materials efficiently.
Client amp; Provider Communication
  • Serve as a reliable point of contact for clients regarding case progress and scheduling.
  • Communicate professionally and empathetically, ensuring clients feel informed and valued.
  • Coordinate with medical providers, expert witnesses, and opposing counsel as directed.
Team Collaboration amp; Compliance
  • Work seamlessly with litigation attorneys, assistants, and case managers to maintain continuity and avoid case delays.
  • Ensure all case documentation is complete, accurate, and uploaded to the firm’s case management system.
  • Uphold firm confidentiality and compliance policies in all actions.
1. Litigation Event Support amp; Preparedness
  • Ensure attorneys maintain 15+ money-making events per month (hearings, depos, mediations) by preparing all required materials at least 48 hours in advance with zero rework needed.
  • Maintain 100% readiness for all scheduled litigation events, including complete binders, exhibits, filings, disclosures, scheduling notices, and subpoena coordination.
2. Case Progression amp; Filing Support
  • Support the attorney’s requirement of 8+ lawsuits initiated per month by:
    • Ensuring all pleadings, exhibits, medical summaries, and service documents are complete, accurate, and ready for filing before attorney review.
    • Maintaining a 100% on-time filing rate with zero preventable delays.
3. Trial Preparation amp; Execution
  • Support the firm’s standard of a minimum of 3 trials per year per attorney by ensuring:
    • All trial materials are complete 30 days before trial (pre-trial deadlines, designations, witness lists, exhibit lists, subpoenas, motions, and trial binders).
    • Zero missed trial deadlines attributable to paralegal preparation or follow-through.
4. Settlement Value amp; Outcome Support
  • Prepare accurate damages summaries, medical chronologies, cost analyses, and evidence packages that support the attorney’s settlement and collection goals.
  • Ensure all records, bills, and discovery materials required for negotiations or mediations are complete and available well before deadlines.
5. Checklist amp; Compliance Standards
  • Maintain 100% checklist compliance on litigation workflows, filings, discovery, client contact, and trial prep requirements.
  • Zero repeat errors on pleadings, service, calendaring, discovery formatting, or filing procedures.
6. CRC Performance (Case Review Conferences)
  • Contribute to the attorney standard of no more than 1 CRC per month by:
    • Maintaining proactive file management.
    • Ensuring no paralegal-controlled task is overdue, inaccurate, or incomplete.
    • Keeping attorneys informed of risks, deadlines, and required actions before CRC exposure.
7. Client Experience amp; Communication
  • Support litigation attorneys in maintaining excellent client communication by:
    • Responding to client inquiries within 24 hours or less.
    • Providing clear, accurate updates and action items.
    • Upholding the firm’s Client First standard in every interaction.
8. Attendance, Accountability amp; Reliability
  • Maintain excellent attendance to ensure litigation events, deadlines, and filings are never compromised.
  • Communicate workload, conflicts, or limitations promptly to prevent bottlenecks or delays in litigation progression.
