The Litigation Practice Coordinator will play an active role in supporting strategic and tactical initiatives to help advance business goals and the day-to-day litigation operations of the litigation practice groups, including facilitating and overseeing litigation budgets, staffing, utilization, e-billing requirements, and supporting overall litigation strategy for designated litigation teams. The Litigation Practice Coordinator is responsible for providing comprehensive support to the firm's litigation team, including trial concierge services, hotel organization, contract review, war-room setup, vendor contacts, litigation research, business development, and evaluating litigation tools, as well as basic administrative responsibilities.

ESSENTIAL JOB FUNCTIONS

  • Partner with peer administrative departments (e.g., Marketing, Legal Talent, Finance & Accounting, Information Technology, Human Resources, Innovation, Client Care) to support business and litigation strategy as set out by the Department and Practice Groups.

  • Oversee processing of litigation trial team billing, disbursements, and payments, working with the firm billing team to resolve issues or outstanding WIP and AR.

  • Assist the designated litigation teams on various initiatives and workflow as needed.

  • Identify, assess and implement technology and innovation concepts to improve efficiency and service models.

  • Support the Senior Litigation Manager, Practice Directors and other Practice Management team members on special projects.

  • Arrange and manage travel itineraries for trial team members, including flights, ground transportation, and hotel accommodations.

  • Organize and manage catering services for trial team members.

  • Maintain detailed records of all arrangements and expenses for accurate reporting and reimbursement.

  • Act as a liaison between the trial team and external vendors, such as hotels, transportation services, and catering companies.

  • Handle any logistical challenges that arise during the trial and anticipate potential issues and proactively develop solutions to avoid disruption.

  • Collaborate with the eMerge team to ensure all trial technology and equipment are set up as needed.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Sound knowledge of litigation processes and staffing requirements of large-scale litigation.

  • Ability to exercise tact and discretion involving sensitive and confidential matters.

  • Ability to work independently as well as on a team and collaborate effectively across administrative departments and Practice Group in all offices.

  • Ability to be open-minded, flexible, and manage multiple partnerships with attorneys and non-attorneys simultaneously.

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail, even when under pressure.

  • Ability to communicate clearly and effectively, in oral and written form, with people at all levels within the Firm.

  • In-depth understanding of Microsoft Office suite is preferred, with an ability to quickly learn and utilize additional software solutions.

  • Demonstrates an "ownership" mentality, flexibility, initiative, and a positive attitude.

EDUCATION AND/OR EXPERIENCE:

  • Bachelor's Degree or any combination of experience and education that demonstrates the ability to perform the essential functions of the job.

  • Minimum of five (5) years of experience working in a law firm, with a focus on litigation.

  • Minimum of five (5) years of experience in trial support, preferably as a paralegal.

  • Experience managing trial needs preferred.
