Administrative Assistant


Location: Fairfield, OH

Reports to: Regional Manager, People & Culture

Type: Full-time

Overview

The Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the office. This role serves as the first point of contact for employees, visitors, and vendors, while supporting daily office operations. Responsibilities include maintaining organized records, coordinating schedules, and supporting onboarding and general administrative functions. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple responsibilities with professionalism.


Key Responsibilities

  • Welcome visitors and serve as the first point of contact for employees, vendors, and guests, ensuring a professional and welcoming office environment.
  • Answer and direct phone calls, emails, and other correspondence professionally.
  • Provide administrative support to managers, departments, and team members.
  • Schedule meetings, appointments, and maintain calendars.
  • Prepare, edit, and format reports, presentations, and other business documents.
  • Organize and maintain electronic and paper filing systems of personnel and company files.
  • Coordinate travel arrangements and prepare travel itineraries, when required.
  • Order and maintain office supplies and equipment.
  • Assist with meeting preparation, including agendas, room setup, and meeting minutes.
  • Process incoming and outgoing mail and deliveries.
  • Support expense reporting, invoice processing, and other basic accounting or purchasing tasks as assigned.
  • Assist with onboarding activities including preparing new hire documentation and orientation travel.
  • Coordinate office and employee activities.
  • Perform other administrative and operational duties as assigned.


Required Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum of 2 years of administrative, human resources, or office support experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with office management software or ERP systems is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to prioritize tasks and manage multiple deadlines.
  • High level of professionalism and discretion when handling confidential information.
  • Strong attention to detail and problem-solving abilities.


Preferred Skills

  • Employee onboarding or Human Resources experience.
  • Experience with scheduling software or collaboration platforms (e.g., Microsoft Teams, Zoom).
  • Basic bookkeeping or accounting knowledge.
  • Ability to work independently while collaborating effectively with a team.
