Description
University of Hawai'i, Kapi'olani Community College, Office of Academic Affairs is seeking applications for the Administrative and Fiscal Support Specialist position. Duties and Responsibilities:
  • Coordinates and monitors administrative and fiscal operational workflows within the unit, ensuring processing alignment with institutional, University, RCUH, or sponsor regulations.
  • Coordinates communication support, outreach logistics, and public-facing distribution material, maintaining media libraries, content calendars, and website/social media channels in alignment with branding standards.
  • Provides project management and coordination support for proposal planning, tracking submission timelines, organizing templates, and gathering compliance documentation for internal or external projects.
  • Manages general office operations, including procurement tracking, supply inventories, equipment logs, calendar synchronization, and digital document distribution frameworks.
  • Assists in the preparation, formatting, review, and sorting of grant proposals, administrative summaries, operational agreements, and fiscal tracking charts.
  • Maintains compliance logs, proposal histories, institutional templates, and records databases to verify alignment with University policies, public relations regulations, and legal parameters.
  • Coordinates with clerical teams, fiscal officers, and other relevant staff across units to streamline communication, documentation pathways, and onboarding procedures.
  • Works beyond normal business hours, including evenings, weekends, and/or holidays, as needed.
  • Performs other duties as assigned.

Minimum Qualifications:
  • Possession of a baccalaureate degree in Business Administration, Public Administration, Communications, Marketing, New Media Arts, Humanities, or a related field, and one (1) year of progressively responsible professional experience with responsibilities for office administration, fiscal/procurement support tracking, digital media logistics, or project coordination; or an equivalent combination of education and experience.
  • Considerable working knowledge of administrative procedures, document control methods, digital communications platforms, or basic operational tracking frameworks.
  • Working knowledge of institutional regulations, public-facing compliance frameworks, or digital accessibility standards.
  • Demonstrated ability to manage multiple administrative deadlines, coordinate logistics, and organize overlapping operational schedules.
  • Demonstrated experience applying office applications and digital media workflows (e.g., advanced spreadsheets, word processing, shared directories, content managers, or project tracking tools).
  • Demonstrated ability to write, edit, and format varied administrative materials accurately and professionally.
  • Ability to work outside normally scheduled work hours including nights and weekends as required.

Desirable Qualifications:
  • Knowledge of and administrative experience with University of Hawai'i, RCUH, or grant funding tracking platforms (e.g., Kuali, myGRANT).
  • Experience handling digital content calendars, public relations logistics, or financial tracking spreadsheets in an educational or public-sector ecosystem.
  • Evidence of commitment to Kapi'olani Community College's vision of positioning itself as a model Indigenous-serving institution.
