Job Overview:
In this role, you will own and elevate the onsite workplace experience, serving as the front-office ambassador for guest, candidate, and new hire onboarding hospitality. You will manage daily administrative and facility logistics - including visitor badging security, mail distribution, library tracking, and JIRA ticket support. This position ensures complete daily office readiness through hands-on kitchen stocking, catering help, and weekly maintenance, while also supporting company events and community initiatives like our Padron Elementary partnership.
Key Responsibilities and Duties
Guest & Candidate Experience
  • Greeting guests and providing office tours.
  • Candidate on-site support (getting signed in, preparing visitor badges, office tours, etc).

Badging & Visitor Administration
  • Badging and new hire onboarding setup.
  • Reporting and creating employee temp badges.
  • Reporting lost badges to IT for deactivation.
  • Generating monthly visitor and badge reports for IT Security.

Mail, Deliveries & Packages
  • Offsite mail pick-ups + opening, sorting, scanning, and distributing.
  • Managing UPS pick-ups, deliveries, and distribution.

Daily Kitchen & Catering Support
  • When necessary, provide back up support for morning grocery & stocking: Grocery curbside pick-up (6:30-7:30 a.m.), making coffee, stocking shelves/fridges, and preparing the kitchen for the day before 8:30 a.m.
  • Responsible for mid-Day / afternoon maintenance/restocking of kitchen snacks and drinks in the afternoon; wiping down counters, equipment, and managing dishwashers.
  • Assist in catering coordination (setup and cleanup help).

Office & Conference Room Maintenance
  • Friday Deep Clean / Reset: Clearing out main kitchen/coffee bar, throwing away old fridge food, washing remaining dishes, and conducting conference room walk-throughs to restock and straighten up.
  • Friday task list (new hire desk setup, laundry collection and service, etc).

Operations & Administrative Support
  • Library management (checkouts, adding new hires, registering new books).
  • Assisting with JIRA Office Ops tickets.
  • Serving as backup support for company events, retreats and onsite meetings.
  • Support Padron Elementary donations on behalf of Office Ops.

Skills & Qualifications:
  • 3-5+ years of experience in front office administration, reception, or customer-facing operations roles.
  • High School Diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Working knowledge of office operations, badge management systems, and basic facilities coordination.
  • Strong organizational and time-management skills; clear verbal and written communication; software proficiency in Google Suite.
  • Available to work onsite Monday-Thursday from 8am-4pm, Friday 830am-230pm.
