Administrative Coordinator
MONDAY - FRIDAY in person/office position: Houston, TX - Galleria Area
Option(s): 8:30am-5:30pm OR 9am-6pm
Supervises office activities to achieve maximum expense control and productivity. Develops procedures for office activities, such as project documentation and maintenance, word processing, communication services, marketing systems, printing services, purchasing, facilities maintenance, and other support services either in whole or part. Primary responsibility is to coordinate the administrative aspects of the office to ensure that the office is working efficiently. Rely on experience and judgment to plan and accomplish goals. Position normally reports to an executive in the firm (Office Manager and/or Studio Leader). Requires supervisory and office experience and may have a bachelor's degree. Must be computer literate & technology savvy. Must be able to work in a fast-paced environment & be able to multi-task. Performs Administrative work within a group. Must be able to follow established systems and procedures requiring judgement in the selection and interpretation of data. May do work of a confidential nature and relieve professional staff of administrative details. May perform a variety of recurring tasks.
Responsibilities:
  • Coordinate the administrative aspects of the office to ensure that the office is working efficiently
  • Rely on experience and judgment to plan and accomplish goals
  • Position reports to the Office Manager and/or Studio Leader.
  • Assist with coordination & development of proposals. Assist team in assistance in gathering sample(s) for projects and/or working on the library.
  • Book Travel, Lunches, Appointments and ensure properly scheduled meetings are on the shared calendars along with order supplies.
  • Open & Close office duties such as cleanup of equipment, re-stock supplies, etc.
  • Handle incoming and outgoing calls & have combined duties of greeting and directions guests entering or leaving office.
  • Help with any small daily IT issues around the office.

  • Computer Literate & technology savvy. Must be able to efficiently use company hardware/software in the completion of tasks.
  • Proficiency with Microsoft Word and Excel programs a must, & familiarity with Adobe Acrobat & PowerPoint.
