Job Summary
The Administrative Assistant-Brokerage exhibits professional office expertise and proficient organizational skills to support investment staff. They perform duties independently and initiate judgment with member questions, phone calls and scheduling of appointments. Administrative Assistants - Brokerage perform a variety of clerical duties in support of member investment activities such as data input, filing, preparation of reports, charts and spreadsheets.
Duties and Responsibilities
Practices effective communication and office skills:
  • Demonstrates a commitment to quality and excellence in service.
  • Provides member service via phone, electronically and in person.
  • Schedules appointments for new and existing members.
  • Maintains filing system for prospective and existing members.
  • Files hard copy and electronic materials systematically and timely while following retention period guidelines.
  • Processes member service requests such as address changes, requests for statements, etc.

Initiates and/or assists with a wide variety of insurance sales tasks and projects:
  • Monitors and tracks client referrals and sales results.
  • Submits and maintains records of completed insurance applications and securities business.
  • Utilizes software to generate illustrations on performance of insurance or investment products.
  • Facilitates data entry for the financial plan client reviews.
  • Processes online entry of orders and checks.
  • Sorts, prioritizes and processes incoming mail, fax material, computer printouts according to procedure.
  • Identifies inefficiencies and makes suggestions to solve or enhance the quality of the finished product.

Requirements
Education and Experience Requirements
High school diploma or equivalent AND two years of administrative assistant experience.
Current MEFCU employees meeting performance standards may also be considered in lieu of experience.
Licensure/Certification:
  • Securities Licensure, or willingness to obtain within two years of employment.
  • MN State Insurance License, or willingness to obtain within two years of employment.
