Job description

Dykema Gossett PLLC, is a leading national law firm, with a history of excellence, is celebrating its 100th anniversary this year. We are recruiting for an experienced Legal Secretary (Administrative Assistant / Transactional) for our Dallas office. The Administrative Assistant assists attorneys and paralegals in providing quality legal services to clients including preparation of correspondence, legal documents, electronic and non-electronic filings, maintains calendar, schedules meetings, submits accurate and complete timekeeping data, maintains files and anticipates client needs. Performs other administrative tasks as requested.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Types, revises, modifies all correspondence, memoranda, notes, outlines, legal documents, charts, forms, etc., whether from drafts, originals or dictation.
  • Enters new clients and matters into new business intake (NBI) software system. Prepares and submits conflict check forms, screening forms and new matter request forms through NBI. Sets up engagement letters.
  • Maintains attorneys’ calendars, including scheduling and reminding attorneys of appointments and various other dates. Makes travel arrangements and prepares itineraries.
  • Maintains and organizes digital and hard files on request.
  • Enters and/or releases attorneys’ time, if required. Maintains list of all current billing numbers for assigned timekeepers.
  • Answers and screens telephone calls. Assists callers independently on a regular basis. Exhibits the discretion to know when to contact the attorney concerning urgent or emergency calls and when to refer to another party.
  • Exercises independent judgment in determining priority levels of all work assigned on a daily basis. Assures that high priority items are completed in a timely manner.
  • Conducts all business in a confidential manner.
  • Assists other administrative assistants with work overflow.
  • Perform other responsibilities/tasks as requested.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • High school diploma or GED required; one to two years of post-high school education preferred.
  • Three to five years of related work experience in a law firm or corporate legal department supporting a transactional practice required. Experience in additional practice areas is a plus.
  • Advanced skills in Microsoft Word required. Proficiency in Microsoft: Excel, PowerPoint and Outlook required. Knowledge of Intapp and BigHand, helpful.
  • Excellent verbal and written communication skills, including grammar, spelling and proofreading.
  • Excellent organizational, time management and prioritization skills.
  • Customer service oriented with ability to deliver superior professional service to all internal and external clients.
  • Self-motivated, amiable and resourceful; ability to work successfully with individuals at all levels of the firm and externally.
  • Ability to maintain confidentiality regarding clients, guests, documents, conversations, etc.
  • Typing speed of 55 WPM or greater.

SALARY

The offered salary will be determined by a variety of factors including, but not limited to, work location, individual skill set, previous/applicable experience, education, external market data and consideration of internal equity.
