Job description

Willcox Savage, a law firm with approximately 65 attorneys located in Norfolk, Virginia, seeks an experienced Legal Assistant for our transactional (Corporate, Real Estate, Trust and Estates) practices.
Applicants must have excellent administrative and legal skills, be professional, well organized, detail-oriented, a self-starter, have excellent oral and written communication skills, and able to prioritize assignments and work well under pressure.
Applicants should have extensive knowledge and experience with Microsoft Word (preferably advanced formatting skills); and some knowledge of Excel and PowerPoint.
Specific duties include the following:
  • Support senior partners with detailed calendaring, project management, meetings and communications โ€“ all with the utmost confidentiality and professionalism
  • Draft, transcribe, revise correspondence/agreements including utilizing specific advanced document formatting skills
  • Prepare electronic submissions of conflicts checks and new business intake forms
  • Manage and coordinate internal and external correspondence via phone and e-mail
  • Prepare Annual Reports and Annual Board and Shareholder Minutes; maintain and update Corporate minute books and stock ledgers
  • Billing: enter time sheets, review verify reports; proofread and revise billing memos; email or mail final invoices to clients
  • Proactively track and manage client receivables
  • Maintain client files by opening/closing all main files and sub-files, filing, tabbing and indexing; prepare drafts of engagement letters
  • Maintain electronic client files
  • Assist clients as requested by attorneys
  • Preparation of closing binders and ancillary closing documents and closing checklists
  • Internet research
  • Incorporate and organize corporations and limited liability companies (including preparation of all ancillary documents)
  • Prepare and file UCC financing statements
  • Prepare assumed name certificates
  • Prepare various Excel reports, Word charts, etc.
  • Prepare PowerPoint presentations
  • Arrange for couriers and overnight deliveries; open and distribute incoming mail
Education/Experience
A college degree (Bachelorโ€™s or Associateโ€™s) and a minimum of three years of law firm experience preferred.
Compensation Range: The starting salary range for this position is $45,000 - $60,000 per year.
