SUMMARY OF POSITION RESPONSIBILITIES
The Paralegal provides administrative and substantive legal support to the Legal Affairs Division, including the CEO, outside counsel, and other authorized leaders. This is a full-time, in-office position based in Baltimore, Maryland. The role supports legal document preparation, contract coordination, compliance tracking, legal file management, records requests, case management, and litigation support across Enterprise Management and its affiliated companies.

This position supports U.S.-based legal workflows, with a focus on Maryland-based legal and business operations, including legal document drafting, case organization, client intake coordination, records retrieval, calendaring, legal correspondence, and coordination with outside counsel. The Paralegal must be able to work under the direction and supervision of attorneys and authorized legal leadership while maintaining confidentiality, accuracy, and professional judgment.

The ideal candidate is highly detail-oriented, reliable, technologically proficient, familiar with legal terminology and legal office procedures, and capable of supporting legal operations in a fast-paced, multi-entity office environment. Prior experience with Maryland legal processes, court filings, MDEC/Odyssey e-filing, litigation support, contracts, compliance documentation, or corporate legal administration is strongly preferred. A bachelor's degree in a paralegal-related field and a paralegal certificate are required. Spanish-English bilingual ability is preferred.

SCHEDULED DUTIES AND RESPONSIBILITIES

  • Prepare, format, proofread, and organize legal documents including contracts, NDAs, MOUs, amendments, pleadings, legal correspondence, compliance certifications, affidavits, and other legal forms.
  • Assist with preliminary contract and legal document review to ensure completeness, consistency, proper formatting, and adherence to approved templates.
  • Support Maryland-based legal workflows, including case file organization, litigation deadline tracking, records requests, document routing, and coordination with outside counsel.
  • Assist with Maryland court-related administrative tasks, including document preparation, filing coordination, docket tracking, and e-filing support when applicable.
  • Maintain document control systems including Google Drive, Legal Dropbox, Adobe PDF tools, and legal case management or workflow platforms.
  • Organize and maintain legal files including vendor agreements, corporate records, litigation records, regulatory documents, contracts, correspondence, and internal legal records.
  • Receive, categorize, and route legal correspondence, subpoenas, records requests, scanned documents, and other legal materials for review by authorized legal personnel.
  • Track contract deadlines, court dates, renewal schedules, regulatory filing deadlines, response deadlines, and legal obligations using shared calendars and task management tools.
  • Coordinate internal reviews, signature collection processes, approval workflows, and document routing for legal and executive review.
  • Schedule meetings and maintain communication logs with outside counsel, legal advisors, consultants, clients, vendors, and internal departments.
  • Assist with client intake coordination, document collection, and preparation of intake materials for legal review.
  • Support records retrieval, document production, discovery coordination, and litigation support activities when required.
  • Assist with preparing documentation required for regulatory compliance, organizational filings, corporate governance, and business-related legal matters.
  • Maintain strict confidentiality of all legal, financial, personnel, client-related, business, and privileged information.
  • Provide in-office administrative and operational support to legal and executive leadership while maintaining responsiveness, professionalism, and accountability.

UNSCHEDULED DUTIES AND RESPONSIBILITIES

  • Assist with legal research related to contracts, Maryland legal processes, regulatory compliance, corporate records, litigation support, and case-related documentation.
  • Support contract review processes by identifying missing information, summarizing key provisions, and flagging items for attorney or leadership review.
  • Participate in special legal projects including contract audits, organizational filings, corporate record updates, compliance initiatives, litigation support projects, and internal legal risk management activities.
  • Serve as a liaison between internal departments, outside counsel, vendors, clients, consultants, and leadership when coordinating legal documentation.
  • Maintain and update legal templates, compliance trackers, intake forms, contract logs, legal reference materials, and internal filing systems.
  • Assist in reviewing filings and documentation for completeness, accuracy, formatting, and required attachments prior to submission.
  • Support the internal documentation of legal risk management activities, compliance follow-up, and legal workflow improvements.
  • Provide administrative assistance to executive staff upon request.
  • Identify process improvement opportunities in legal document management, legal workflow automation, contract tracking, filing systems, and case coordination processes.
  • Perform other related duties as assigned by legal leadership, executive leadership, or authorized supervisors.

LEVEL OF EDUCATION / TRAINING / QUALIFICATIONS

  • Bachelor's degree in Paralegal Studies, Legal Studies, Legal Administration, Criminal Justice, Political Science, Pre-Law, Business Law, or a closely related field required.
  • Paralegal certificate required; certificate from an ABA-approved paralegal program preferred.
  • Maryland does not require state licensure for paralegals; however, this position requires formal paralegal education and certificate-based training due to the level of legal support, document handling, and legal workflow responsibilities involved.
  • Minimum of 1-3 years of experience as a paralegal, legal assistant, legal secretary, litigation support assistant, legal administrative assistant, or similar legal support role preferred.
  • Prior experience supporting attorneys, law firms, corporate legal departments, outside counsel, or U.S.-based legal workflows strongly preferred.
  • Experience with Maryland court processes, court procedures, MDEC/Odyssey e-filing, docket tracking, records requests, legal calendaring, case management systems, or litigation support strongly preferred.
  • Experience with contract administration, corporate legal support, compliance tracking, vendor agreements, organizational filings, or business/legal documentation preferred.
