Join a Growing, Client-Focused Firm – Personal Injury Intake Specialist Opportunity in Springfield or Dublin Ohio!

Aspen Careers is partnering with an established and expanding personal injury law firm to identify an experienced Personal Injury Intake Specialist. This is a unique opportunity for someone who combines legal knowledge with exceptional communication, relationship-building, and client service skills.

As the first point of contact for prospective clients, you'll play an important role in both the client experience and the continued growth of the firm. You'll speak with individuals who are often navigating stressful or difficult circumstances, gather and evaluate key information, identify promising cases, coordinate attorney involvement when needed, and help qualified clients take the next step toward representation.

This is not a traditional paralegal position. It is an opportunity for someone who genuinely enjoys intake, client interaction, case screening, and relationship development and wants to take ownership of this function as the firm continues to grow.

Job Title: Personal Injury Intake Specialist

The Ideal Candidate:

  • Previous experience working in a personal injury law firm strongly preferred
  • Prior legal intake, client intake, case screening, client service, or similar experience preferred
  • Candidates with transferable intake experience from other legal practice areas may also be considered
  • Familiarity with the personal injury client experience, including communicating with individuals dealing with injury, loss, uncertainty, and stressful circumstances
  • Confident, outgoing, and comfortable guiding conversations with prospective clients
  • Excellent listener who knows how to ask thoughtful follow-up questions and identify important details
  • Strong sense of urgency and willingness to proactively follow up with prospective clients
  • Self-sufficient, driven, organized, and comfortable taking ownership of responsibilities
  • Able to think quickly, use sound judgment, and recognize when a potential matter needs immediate attorney involvement
  • Patient and empathetic while also comfortable communicating difficult news professionally
  • Comfortable with the client-development and conversion aspect of the position
  • Able to maintain professionalism with every caller regardless of whether the firm can ultimately assist them
  • Technologically comfortable; experience with LeadDocket or Filevine is a plus
  • Looking to build expertise and grow within intake and client development, rather than using the role as a transition into paralegal work

  • Recognize high-priority matters and quickly connect appropriate cases with an attorney
  • Facilitate electronic fee agreements and help qualified prospective clients complete the sign-up process
  • Maintain consistent follow-up with prospective clients who have not yet been reached or signed
  • Track all communication and activity accurately within the firm's intake system
  • Monitor pending and under-review matters and coordinate follow-up with attorneys
  • Help facilitate referrals for legal matters the firm does not handle
  • Follow up with referral partners to ensure prospective clients receive appropriate assistance
  • Provide a professional, compassionate, and responsive experience from the very first interaction
  • As you grow in the role, help develop relationships with referral partners and intake professionals at other law firms
