  • Maintain a clear, warm, and controlled tone under pressure
  • Guide conversations with confidence while keeping clients at ease

At times, you may be managing multiple calls, clients in the office, and internal requests simultaneously. Even during busy periods, clients should experience the interaction as calm, organized, and intentional.

Core Responsibilities

1. Client Experience & Communication

  • Serve as the primary point of contact from initial inquiry through ongoing support
  • Manage intake, consultation scheduling, and follow-up communication
  • Guide clients through next steps with clarity and confidence
  • Ensure clients never feel lost, confused, or unattended

2. Attorney Time Protection & Workflow Coordination

  • Act as a gatekeeper to attorney time and availability
  • Filter, prioritize, and route communication with intention
  • Ensure attorneys are fully prepared with complete and organized information
  • Eliminate unnecessary interruptions and inefficiencies

3. Scheduling, Intake & Office Coordination

  • Lead structured intake conversations and qualify prospective clients
  • Coordinate calendars with precision to optimize time and workflow
  • Maintain strong appointment show rates and organized scheduling systems
  • Assist in maintaining smooth daily office operations

4. Client Relationship Management

  • Serve as a consistent and reliable point of contact throughout the client relationship
  • Provide updates, reinforce next steps, and maintain communication consistency
  • Help maintain a high-level client experience reflective of the firm’s standards

5. Firm Organization & Systems Management

  • Maintain organization across digital systems, including Dropbox and client files
  • Ensure physical files and office systems remain consistently structured and maintained
  • Support clarity, accessibility, and consistency across office systems and workflows
  • Identify and improve operational inefficiencies where appropriate

6. Technology & AI Integration

  • Utilize firm systems and tools to improve communication and workflow efficiency
  • Leverage AI tools to support organization, communication, operational execution, and problem-solving
  • Continuously learn and adapt to new technologies and systems introduced by the firm
  • Operate comfortably in a technology-forward environment where AI is integrated into daily workflows

AI Fluency Requirement

We are seeking a candidate who is AI fluent and comfortable utilizing modern AI tools as part of daily operations. This does not require technical or programming experience, but it does require curiosity, adaptability, strong technology skills, and the ability to effectively use AI to improve organization, communication, efficiency, and workflow management.

Candidates should be comfortable learning new platforms, troubleshooting basic technology issues, and integrating AI-assisted tools into professional workflows.
