Dufford Waldeck Law is seeking a detail-oriented, organized, and compassionate Legal Intake Assistant to join our team. This position plays an important role in creating a welcoming, professional, and supportive experience for prospective and new clients while helping our legal team manage the intake process efficiently and accurately.
About the Position
Working closely with the Legal Intake Specialist, the Legal Intake Assistant will help guide potential clients through the initial intake process. This includes responding to inquiries, gathering and documenting information, completing conflict checks, creating new client files, preparing Legal Service Agreements, coordinating follow-up, and ensuring intake matters move forward promptly and accurately.
The ideal candidate is comfortable working in a fast-paced, client-focused environment, can manage multiple priorities and interruptions, and approaches every interaction with a high level of attention to detail and professionalism.
Schedule
  • Part-time, 20 hours per week
  • Part- time hours are flexible within the open office hours.
  • Office hours are 8:30 am to 5:00 pm, Monday through Friday.

Responsibilities
• Respond professionally and promptly to prospective client inquiries by phone, email, web forms, and other channels.
• Gather and document client and matter information and assist with initial intake interviews as needed.
• Open new client files.
• Prepare Legal Service Agreements and assist with obtaining signatures and retainer fees.
• Track and follow up on pending intakes and missing information.
• Assist with administrative tasks, referrals, document collection, reporting, and other duties as needed.
Qualifications
• High school diploma or equivalent.
• Excellent verbal and written communication skills.
• Strong attention to detail, organization, and follow-through.
• Experience in customer service, call center, sales, administrative support, legal support, or client intake preferred.
• Previous experience in a law firm or legal department preferred.
• Familiarity with legal case management or CRM systems, particularly Clio, preferred.
