Job Description:
Join Job Duck as a Legal Intake Receptionist and become the welcoming voice and first point of contact for individuals seeking guidance during important family law matters. In this role, you will help create a positive and reassuring experience for clients by managing communications, coordinating inquiries, and ensuring information is handled accurately and confidentially. Success in this position requires someone who is compassionate, organized, and confident communicating with people from diverse backgrounds while navigating sensitive situations with professionalism. • Monthly compensation range: 1015 USD to 1100 USD
Responsibilities include, but are not limited to:

  • Support administrative operations as needed to maintain efficient workflow
  • Handle confidential client information in compliance with legal and ethical standards
  • Organize, maintain, and update electronic client records within the CRM system
  • Process and respond to incoming emails following established communication guidelines
  • Provide referrals and resources to individuals seeking assistance outside the firm's practice areas

  • Answer and direct incoming calls in a professional and courteous manner
  • Monitor and manage overflow call systems to ensure timely responses
  • Gather and document caller information accurately
  • Ensure all client interactions reflect the firm's commitment to professionalism and exceptional service
  • Maintain electronic filing systems

Requirements:
• 2- 3 years of experience in a receptionist, customer service, administrative support, legal support, or client-facing role preferred
• Legal background is a big plus
• Strong verbal and written communication skills
• Ability to handle sensitive and confidential information with discretion
• Excellent organizational and multitasking abilities
• High attention to detail and commitment to accuracy
• Comfortable managing high volume communications across multiple channels
• Ability to follow established processes, guidelines, and communication protocols
• Professional and empathetic approach when interacting with clients
• Strong problem solving and critical thinking skills
• Proficiency with CRM systems and electronic document management
• Experience working in a remote environment preferred
• Timezone: PST (US)
• Software and Tools: CRM software, Microsoft Office Suite, Outlook, Email management platforms, phone systems
Work Shift:
8:00 AM - 5:00 PM [PST][PDT] (United States of America)
