What is a legal executive?

Legal Executives are qualified legal professionals who specialize in a particular area of law, such as conveyancing, litigation, or family law. They perform many of the same tasks as solicitors, including giving legal advice, preparing legal documents, and representing clients in certain courts. Legal Executives typically achieve their qualification through the Chartered Institute of Legal Executives (CILEx) in the UK, combining work-based training with academic study. They play a crucial role in law firms and legal departments, often working alongside solicitors and barristers.

What are some common challenges faced by legal executives when managing multiple cases simultaneously?

Legal Executives often juggle several cases at once, which requires strong organizational and time management skills. It can be challenging to balance tight deadlines, extensive documentation, and shifting priorities, especially when unexpected developments arise in ongoing cases. Collaboration with solicitors, barristers, and clients is essential to keep everyone informed and to ensure that all paperwork is accurate and timely. Utilizing case management software and maintaining clear communication within the legal team can help Legal Executives stay on top of their workload and deliver quality results.

What are the key skills and qualifications needed to thrive as a legal executive, and why are they important?

To thrive as a Legal Executive, you need a solid understanding of legal principles, case management, and compliance procedures, typically backed by a law degree or a recognized legal executive qualification. Familiarity with legal research databases, document management systems, and case law tools is essential. Outstanding attention to detail, strong organizational skills, and effective communication set top performers apart. These skills and qualifications are vital for ensuring accuracy, managing complex caseloads, and supporting clients or legal teams efficiently.

Job description

Legal Executive Assistant

Law Firm | Seattle (Hybrid)

$45-$60/Hour DOE

About the role

The Legal Executive Assistant (LEA) is a trusted business partner to a corporate attorney, managing the day-to-day operations of the practice so the attorney can focus on clients and business development. You'll be the connective tissue of the practice, surfacing critical information, keeping meetings and materials sharp and accurate, and anticipating what's needed before it's asked.

Beyond administrative skill, this role calls for real fluency in how a legal practice runs: its procedures, terminology, documents, and business context. You'll also work closely with, and mentor, the Legal Administrative Assistants (LAAs) and Legal Support Assistants (LSAs) who round out the attorney's team, representing the firm professionally at every turn.

What you'll do
  • Run the attorney's projects end to end — track milestones, meet deadlines, and coordinate with lawyers and support teams to keep work moving.
  • Act as the attorney's liaison with clients, colleagues, and internal departments, using sound judgment to respond and make decisions on their behalf.
  • Draft, proofread, and finalize legal documents, correspondence, and presentations, and review the team's output for accuracy before it goes out.
  • Delegate and oversee work assigned to LSAs and internal support, monitoring progress and giving feedback that raises the quality of the final product.
  • Mentor and develop LSAs, offering ongoing coaching and growth opportunities.
  • Own meeting logistics — agendas, materials, coordination with internal and external parties, and real-time follow-through on requests raised during the meeting.
  • Manage billing — approvals, prebills, and final bills; serve as the attorney's proxy on billing questions and drive timely follow-up.
  • Manage a complex calendar and travel — schedule meetings, resolve conflicts, flag competing priorities with solutions, and ensure expenses and time entries are processed correctly.
  • Keep the practice organized — maintain electronic and paper files in the firm's document management system so every work product is current and easy to find.
  • Support research and case prep — compile information and executive briefings, coordinating with support teams to deliver polished materials.
What you'll bring
  • Strong written and verbal communication, with the ability to convey complex information clearly and concisely.
  • Sound judgment and discretion, you'll routinely handle confidential and sensitive legal matters.
  • Deep familiarity with legal processes, procedures, and document types.
  • Excellent time management and the ability to prioritize and multitask in a fast-paced, demanding environment.
  • A collaborative, solutions-oriented approach and the confidence to ask for the right resources to get work done well.
  • Advanced proficiency with Word, PowerPoint, and Excel, plus research tools, case management, and accounting software, and comfort adopting AI-powered tools for document production, review, and research.
  • Fluency with virtual collaboration tools like Zoom and Teams.
Qualifications
  • Required: High school diploma or GED, plus 5 years of administrative experience supporting upper-level leadership in a corporate or legal environment.
  • Preferred: Bachelor's degree in legal studies, business administration, or a related field.
Benefits

This is a non-exempt, hourly role with overtime paid per applicable law; actual pay also reflects experience, skills, education, and overall qualifications. Benefits include medical, dental, and vision insurance and a 401(k).

No immigration sponsorship is available for this position. Applicants outside the posting jurisdiction apply voluntarily and are not eligible for relocation assistance.
